Role Overview
Based at our Spitalfields office and reporting to the Head of Operations, the Operations Coordinator will support the smooth and efficient day-to-day operation of a small portfolio of sites and their facilities.
This is a varied and hands-on role involving contractor coordination, tenant engagement, facilities management, health and safety administration, supplier management, utilities, invoicing and general operational coordination. The role will act as an important link between tenants, contractors, suppliers, landlords and the wider Operations team, ensuring that issues are followed up, actions are completed and sites continue to operate to a high standard.

The ideal candidate will be highly organised, proactive and confident managing multiple priorities. Previous experience in administration, facilities, property or operations is desirable, although this role would suit someone with strong organisational and communication skills who is keen to develop their career in operations.
Key Responsibilities
- Coordinate the day-to-day operational and facilities requirements of a small portfolio of sites, including maintenance, repairs and general site issues.
- Attend sites to meet contractors, instruct works and monitor progress to ensure jobs are completed to the required standard.
- Coordinate health and safety checks, ensuring they are completed on time and that any follow-up actions are addressed.
- Build strong relationships with tenants, meeting with them regularly to gather feedback and ensure actions are followed through.
- Manage operational queries and issues through relevant email channels, group communications and issue-tracking systems.
- Keep operational records, trackers and shared drive folders accurate, organised and up to date.
- Coordinate with landlords, agents, suppliers and service providers, including cleaning and facilities contractors.
- Support the management of utilities, invoices and site-related recharges.
- Review and update the move tracker daily, ensuring information remains accurate and current.
- Identify recurring issues and opportunities to improve the efficiency and quality of service delivery.

Skills & Experience
- Strong organisational and time-management skills, with the ability to manage multiple tasks and priorities.
- Excellent communication and interpersonal skills.
- Confidence liaising with tenants, contractors, suppliers, landlords and internal teams.
- Strong attention to detail and accuracy.
- A proactive and practical approach to problem-solving.
- Ability to take ownership of tasks and see them through to completion.
- Ability to work independently while contributing effectively as part of a team.
- Previous experience in an administrative, facilities, property or operations role is desirable.
