Position: Operations Coordinator

Location: London, United Kingdom

Full Time: Onsite, Monday to Friday 10:00 – 17:00

Salary: £30,000 p.a

NB: Applicants must have the right to work in the United Kingdom

About Misfit

We are a B2B gemstone wholesaler that specializes in unique and unusual natural diamonds and sapphires. Founded in 2019, Misfit is headquartered in Vancouver and has grown to include offices in Toronto, New York and London. Our goal is to create positive change within industry supply chains and to raise the standards for what ethical sourcing looks like. As a result, we have built Misfit around three pillars:

As a B2B wholesaler within the jewellery industry, we believe in fostering symbiotic relationships with our clients in the trade, which is why our policy of not selling to the general public is the core principle for us. This means that employees may not engage in the solicitation or sale of jewellery or loose stones while employed at Misfit.

Responsibilities

Administration

  • Assist accountants with quarterly VAT calculations
  • Compile and provide receipts for accountants
  • Raise invoices and send to clients
  • Manage office supplies
  • Monitor the office phone and incoming messages
  • Assist with preparation and support for trade shows
  • Assist with content creation and manage Misfit UK socials
  • Maintain a clean office space including emptying bins and hoovering

Inventory Management

  • Quality control gemstones
  • Arrange weekly internal shipments and prepare appropriate documentation
  • Receive and process weekly internal shipments including manage product location
  • Arrange and process customer returns
  • Arrange shipments to clients for approval or final sale
  • Carry out quarterly inventory checks
  • Prepare client drafts documentation for gemstones that are out on approval
  • Hand-deliver gemstones to clients when required
  • Manage internal stock requests to and from London
  • Maintain internal records such as quantity of melee held in London
  • Provide operational support to Sales Rep during sales trips
  • Attend a weekly meeting with global operations team [17:30 GMT]

Customer Service

  • Work closely with Sales Rep to chase outstanding payments
  • Provide sales coverage for Sales Rep during sales trips or annual leave
  • Produce quality digital assets of gemstones to be sent to clients
  • Provide operational support to Sales Rep during client visits to the office
  • Creating new customer profiles and checking references
  • Occasional travel required

Skills & Qualifications

Required:

  • Proficiency in Shopify, Slack and Google Workspace
  • Ability to manage multiple tasks and prioritize workloads
  • Excellent customer service and interpersonal skills
  • Strong attention to detail
  • Strong content creation skills
  • An inquisitive mind in understanding why and how a task/process is done

Desired:

  • Gemmology certification
  • Experience in jewellery or gemstone wholesale operations
