The best startups run on the small stuff being handled brilliantly - inboxes under control, calendars that work, team days that just happen, decks that land. Right now too much of that falls to our leadership team, and it holds them back from the work only they can do.
This is a broad operations-and-support role for someone who wants to own the day-to-day machine behind a fast-moving leadership team. You'll take work off the plates of our CEO, CTO and Chief of Staff, spot what's coming before it becomes urgent, and grow with us as we scale.
About Money Means
Money Means exists because good financial guidance has always been a privilege, and we think that's wrong. We're building Aida, an AI-powered tool that gives people genuinely useful, personalised financial guidance (and, in the near future, financial advice) without the cost or jargon of traditional advice. We're a mission-driven team of 14 (& growing!), working in a fast-paced, agile environment where your skills and ideas can truly make a difference.
Key Responsibilities
- Support the leadership team with their mailboxes - triaging, flagging what genuinely needs them, drafting routine replies, and keeping things under control. This is a core part of the role.
- Own calendar management and follow-ups across the leadership team, so nothing slips
- Look ahead and prep for what's coming - demos, investor updates, key deadlines - before they land
- Turn meeting notes and transcripts into clear actions and follow-ups
- Support internal comms - help draft, coordinate and schedule team updates, announcements and all-hands materials, keeping the team in the loop
- Polish slides and decks to presentation-ready (functional Figma, not full design)
- Help organise team days end-to-end - travel, venues, logistics, and pulling together everyone's needs
- Keep our internal tools and shared spaces (Notion, shared drives) tidy and up to date
- Support monthly payroll administration and new-starter onboarding logistics (equipment, tool access, checklists)
- Coordinate interview and candidate scheduling as we hire
- Take on ad-hoc research - travel, venues, suppliers, benchmarking
- Support finance admin - raising and chasing invoices, processing expenses, and liaising with our accountants on month-end (invoice uploads, queries etc)
- Handle contract administration - preparing DocuSign envelopes and chasing signatures
- Help prepare and post social content
- Be the operational glue that keeps a small company running smoothly

How You'll Work With AI Tools
AI tools aren't an optional extra here - we wouldn't be where we are today without leaning heavily on Claude. We've built a growing library of our own Claude skills that handle much of the work in this role -payroll, onboarding, research, notes, content prep and more - and you'll use them day-to-day, alongside Claude more broadly to take the friction out of almost anything.
Just as important is the instinct to spot what could become a skill. When you notice yourself doing something repetitive, we want you asking "could Claude do this?" and having a go at building it - so the whole team gets faster. We're not looking for years of experience with these tools; we're looking for someone curious, happy to lean on them, and keen to learn and build their own. Everyone in the team has a Claude subscription, and we top that up with an AI tools allowance.

Key Skills & Experience
- Highly organised, with a knack for staying on top of lots of small moving parts
- Proactive, with real energy - you spot what needs doing and get ahead of it, rather than waiting to be asked
- A clear, warm communicator, comfortable dealing with founders, the wider team and the occasional external contact
- Discreet and trustworthy with confidential information (you'll have access to senior leaders' mailboxes)
- Comfortable with tools — confident in Microsoft Outlook/Word/Excel and Notion, and happy to learn new ones.
- At ease with a fast-moving startup where priorities shift week to week
Bonus Points
- Experience supporting a leadership team or founders in a startup or small business
- Some exposure to HR, finance or operations admin
- Comfort using AI tools day-to-day

Our Interview Process
- Initial conversation with Helena (CEO & Founder) - an informal chat covering vision, chemistry, your experience, and where Aida is headed.
- Second interview with Sally (Chief of Staff, who you'd report to) and other members of the leadership team - a deeper conversation about the role, how you work, how you use AI tools, and a short practical task.
What You'll Get
- Salary: £34k–£42k FTE; approx. £23k–£28k pro-rata at 25 hrs/week
- Hours: part-time, 25 hours a week, with scope to grow
- Pension: 5% employee contribution, 3% from us
- Annual leave: 24 days plus bank holidays plus a festive shutdown (pro-rata)
- Death in Service: lump sum of 6x salary
- Income Protection: 75% of salary (plus pension contributions) for up to 3 years if you're unable to work
- EMI share options: real ownership, subject to eligibility
- GP on Demand: same-day virtual GP appointments
- Care Concierge: support with arranging care for a family member
- Employee Assistance Programme: 24/7 confidential support across mental health, legal, financial and family matters
- Mental health support: up to 4 therapy sessions a year through Spill, with the option to ask for more
- AI Allowance: up to £50 a month for AI tools, plus a Claude subscription
- Work from Anywhere: based anywhere in the UK, with up to 3 months overseas per year
