Role Overview
We are seeking a proactive and organised Operations Executive to support the delivery and management of Powder 24's resort team. This role is essential to smooth operations across recruitment, staff communication, travel planning, deployment, and general staffing administration, and offers strong opportunities for progression within the company. The executive is expected to own defined processes, deliver high-quality outputs, and contribute to initiatives that enhance the rep experience and quality of rep performance.
The ideal candidate is a strong communicator, technically proficient, and able to juggle multiple priorities in a fast-paced environment. During the season, there will be times when evening and weekend work - and, very occasionally, night work - is required. This is mostly to support out-of-hours phone cover and travel support for our reps and clients.
Key Responsibilities
- The role will focus on system administration, resort team communication, and collaboration with the operations team to produce and deliver Powder24’s resort team.
- Being a clear, professional point of contact for the rep team.
- Managing day-to-day communication with reps via all channels (email/whatsapp), as well as the timely distribution of key information.
- Support recruitment administration - reviewing applications, scheduling and conducting interviews, and supporting recruitment marketing.
- Maintaining an up-to-date and accurate database of the rep pools, using insights to ensure the pool is the best it can be.
- Supporting the rep onboarding process before deployment.
- Support with the organisation and delivery of a highly effective rep training across both new and returning reps while considering our overall objectives in terms of strategy, company, and brand values.
- Using a data-focused approach to allocate reps from the pool to weeks as effectively as possible.
- Lead on travel planning, booking, and logging for reps, office staff, and welfare.
- Tracking, managing, and dispatching company-owned staff uniforms.
- Prepare key documents such as availability forms, briefings, handbook updates, and advancing documents.
- Contribute to driving rep culture, morale, and engagement initiatives for reps.

Supporting Responsibilities
- Execute and support across all shared operations work, learning our systems, processes, and standards.
- Keep rep records, systems, and trackers accurate and up to date.
- Process admin tasks accurately and promptly, meeting agreed timelines and checklists.
- Flag issues, risks, and ideas early, and take the initiative to solve day-to-day problems.
- Develop the skills and judgement needed to progress toward the Operations Coordinator role over time.
Skills & Attributes
Essential
- Highly organised with great attention to detail.
- Confident communicator in person and across email, phone, and WhatsApp.
- Able to motivate others through digital communication.
- Comfortable using Excel/Google Sheets and quick to learn new tools.
- Able to prioritise and work under pressure during peak periods.
- A proactive team player who takes initiative and enjoys problem-solving.

Desirable
- Previous experience in staffing or operations.
- Familiarity with travel planning or logistics.
- Experience in the snowsports industry, preferably student snowsports.
Working Pattern
This role is contracted at 37.5 hours per week across five days. As a travel business, our peak winter season is when the majority of our customers are on the slopes, so some weekend working comes with the territory during that period. We offer hybrid working, with a stronger in-office expectation during onboarding while you find your feet, gradually increasing flexibility as you settle in. How that balance looks day-to-day is guided by our hybrid working policy and will vary seasonally.
