About Aromaria
Founded in Mexico and recognised by Forbes as one of the "30 Promising Companies" of 2023, Aromaria is a luxury scent brand now making its mark across the USA and European markets. Rooted in the science of aromachology, we operate across two models: a B2C lifestyle brand crafting premium home fragrance products, and Aromaria Air, a B2B scenting service that designs signature olfactory experiences for global brands across hospitality, retail, and events. Our mission is to forge lasting emotional connections between spaces, brands, and the people within them.
The Role
This is a fully operational, execution-first role. You will be the engine that keeps Aromaria's EMEA business running: managing the full lifecycle of shipments and deliveries, coordinating daily with our Regent Street team, and liaising directly with our headquarters in Mexico City.
You are not a coordinator who delegates. You are the person who gets it done.
Key Responsibilities
Logistics & Shipments
- Manage end-to-end EMEA deliveries: inbound from Mexico HQ and outbound to clients and partners across Europe, the Middle East, and Africa
- Oversee all freight, courier, and last-mile logistics: selecting carriers, negotiating rates, and tracking every shipment to resolution
- Handle customs documentation, import/export compliance, and duties across EMEA markets
- Coordinate with third-party logistics providers and warehousing partners
- Proactively resolve delivery delays, discrepancies, and stock shortages

Operations & Coordination
- Manage inventory levels at the London boutique and any third-party storage, ensuring stock accuracy at all times
- Implement and maintain operational processes, SOPs, and tracking systems that improve efficiency across the business
- Act as the primary operations point of contact between the London UK team and Mexico HQ: bridging time zones, priorities, and business requirements
- Support order fulfillment for the UK Shopify store and B2B client accounts, ensuring accuracy and timeliness
- Coordinate with the sales and client-facing teams on delivery timelines, bespoke orders, and client-specific logistics requirements
Administration & Reporting
- Maintain accurate records of shipments, stock movements, supplier invoices, and operational costs
- Produce regular reporting on logistics performance, fulfillment rates, and operational KPIs
- Manage supplier and courier relationships, including service reviews and escalations
Requirements
Essential
- 4+ years of experience in operations, logistics, supply chain, or fulfillment: ideally in a product-based business
- 4+ years of work experience with HubSpot, Klaviyo, and monday.com
- Proven experience managing international shipments and navigating customs/import-export processes
- Highly organised with exceptional attention to detail and a proactive, problem-solving mindset
- Strong communicator: confident coordinating across time zones and with international teams
- Ability to work independently and take full ownership of your workload without reminders
- Based in London (or fully willing to commute/relocate) and committed to 5 days in-office at Regent Street
- Authorised to work in the United Kingdom

Desirable
- Experience in luxury, beauty, lifestyle, or premium consumer goods
- Familiarity with Shopify or e-commerce fulfillment workflows
- Working knowledge of freight forwarding, courier platforms, or warehousing systems
- Spanish language skills (advantageous for HQ coordination)
