Operations Manager – Framework accounts

Are you looking for an exciting opportunity to join the Frameworks team and play a vital part in its development within Allan Webb Ltd? We are seeking an experienced Operations Manager, responsible for daily management of operations within the Frameworks account. Reporting to the Senior Programme Manager of Frameworks. The role will be based on Hybrid working, including working from home with regular visits to the company offices and/or customer sites at least 2 -3 times per month.

What will the role look like?

As an Operations Manager, your responsibilities will include the following:

  • Responsible for the accounts reporting outputs including preparation of weekly programme meeting, weekly progress report, creation, and management of Framework programme tracker, including preparing financial reports for monthly performance reviews.
  • Manage all risk systems for the Frameworks, updating RMS and attending monthly risk reviews.
  • Manage the end-to-end Task order Form (TOF) process.
  • Support the account leads in forecasting all tasking for future opportunities and extensions as required ensuring the GPM is maintained IAW cost our rates and charges.
  • Act as quality assurance for all process and procedure documents, files, and SharePoint management.
  • Act as the Allan Webb Representative for various meetings with Contract Stakeholders.
  • Attend and manage internal and external stakeholder meetings as appropriately delegated from Framework lead.
  • Manage and assure the end-to-end Monthly deliverables and invoice tracking process, monitor chase and update all programme Milestones are to Time, Cost and Quality.
  • Be a key interface between client/customer and both AWL and the external contract management where required both virtually and onsite. Act as an Allan Webb Representative and attend the 6-monthly Supply Chain Conference.
  • Work with the Head of Operations and Operations Support to provide the necessary resource allocation to enable effective project planning. Manage and optimise resources to ensure efficient operations and delivery.
  • Monitor the CV’s received via the recruitment management system. Conduct the first sift based on the applicant’s experience and availability date and adhering to the appropriate Equality, Diversity and Inclusion regulations for fairness and non-bias.
  • Support recruitment activities as directed by Framework Lead.
  • Management of the embedded contract personnel. The follows outputs are required:
    • Maintain an accurate resource tracker of all resource placements.
    • Ensure an accurate financial record is maintained for forecasting and revenue purposes.
    • Scrutinise the demand signal to best place available resource.
  • Management of the mobilisation of all Framework resources, by ensuring all personnel have the equipment, training and appropriate security checks conducted and approved for submission into the SharePoint system.
  • Function as POC to all embedded resources working within the Framework to act as the conduit between the contracts and the internal business support units.
  • Work with Support Enablers to address any conflict, issues, concerns raised from LFE.
  • Monitor the opportunity portal as directed by the engineering contract Account Manager, distributing opportunities to the relevant stakeholders.
  • Responsible for all distribution and recording of KPI Feedback from the framework contracts and related outcomes.
  • To abide by Allan Webb Ltd company policies and procedures and uphold the values of the company.
  • Line Management for Project Support Coordinator and all Supply Chain and Operational delivery personnel embedded within the prime Contract.

About You

We are looking for an experienced professional who takes ownership, builds trusted relationships, and drives project delivery that achieves results. You'll be part of a dynamic management team, driving the highest quality and standards across the portfolio of works to give our customer the very best service.

Essential Criteria

  • At least 3 years’ experience within an Operations Management/Contract or Project Management role working on defence projects.
  • Proficient in the use of Microsoft Office, project and reporting and governance tools such as O365, SharePoint, Power Bi.
  • Must be able to travel to support the needs of the customer and business when required. Onsite presence at key stakeholder meetings is essential in this role for both Client/Customer and Embedded resource support.
  • A minimum of APM PFQ or equivalent in operations management.
  • Proven ability and success in delivering high quality outcomes and driving team success and efficiency.
  • Proficient in providing Line Management activities in line with company policy.
  • Demonstrable experience in managing multiple stakeholders from a variety of environments, both internal and external.
