Operations & Site Support Coordinator
Location: Wooburn Green (Hybrid) Contract Type: One-year temporary contract
Responsible for providing essential administrative support to the Commercial GM, Sales Department, and other members of the Senior Management Team for PFS Europe, the Middle East, and Africa.
Key Responsibilities

Role Overview: This hybrid position allows for flexible working arrangements.

Administrative Support: Provide tailored administrative assistance to the General Manager, Sales Department, and Leadership Team.

Meeting Coordination:
- Proactively manage quarterly business reviews, conferences, training programs, and Leadership Team / Sales Team meetings (as requested).
- Oversee meeting invitations, agendas, action item follow-ups, and liaise with customer secretaries.
- Arrange travel, venues, equipment, and catering for meetings and events.

Reporting:
- Gather and organise monthly reports from Leadership Team members to produce a first draft of the monthly management report.

Travel Management:
- Manage Leadership Team travel arrangements (flights, hotels).
- Assist with broader general travel administration as needed.

- Financial Interface: Serve as the link between the Sales Team and the Shared Services Centre Finance Team for expenses and invoices, maintaining a discrepancy log.
Requirements
- Experience & Skills:
- Minimum 3 years of administrative experience, with prior support for senior management in a commercial environment.
- Proficient in Microsoft Office, with expertise in designing high-standard documents (Word), compiling data in Excel (including formulas), and creating PowerPoint presentations.
- Strong written and verbal communication skills in both formats.
- Confident, credible professional manner for interfacing with senior leadership, teams, and external clients; must uphold confidentiality.
- Excellent administrative and organisational abilities, capable of managing multi-tasking tasks with care.

*Salary Range: GBP 21,910 – 35,056/year
