Operations & Site Support Coordinator

Operations & Site Support Coordinator – PFS (EMEA) (Hybrid, Wooburn Green)

A one-year temporary contract opportunity is available for an Operations & Site Support Coordinator to provide vital administrative support to the Commercial GM, Sales Department, and Senior Management Team for PFS Europe, the Middle East & Africa.


About the Role

This is a hybrid role (with flexible working arrangements) based at our Wooburn Green location.


Key Responsibilities

  • Provide administrative support to the General Manager, Sales Department, and Leadership Team (LT) members.
  • Coordinate (proactively) all LT, Sales Team, and Quarterly Business Review (QBR) meetings (including:
    • Arranging invitations, agendas, and follow-ups
    • Liaising with customer secretaries
    • Managing travel, venue bookings, equipment, and catering for meetings, conferences, and training programs
  • Compile monthly management reports by gathering input from LT & Sales Team members and collating into the first draft.
  • Manage Leadership Team travel arrangements, including flights and hotels, while also assisting with general travel needs.
  • Act as an interface between:
    • The Sales Team
    • The Shared Service Centre Finance Team (to ensure accurate expenses and invoices and maintain a discrepancy log).

Requirements

  • Minimum 3 years of administrative experience, including:
    • Experience supporting senior management in a commercial environment.
  • High proficiency in Microsoft Office, with the ability to:
    • Create professional reports and presentations in Word, Excel, and PowerPoint.
    • Manipulate Excel data (including formulae).
  • Strong written and verbal communication skills:
    • Articulate in both written and verbal formats, with a professional tone.
  • Business etiquette and confidence:
    • Comfortable interacting with senior leaders, team members, and external customers.
    • Ability to maintain strict confidentiality.
  • Reliable organisational and multitasking skills:
    • Ability to handle multiple priorities effectively.

Pay Transparency
