The Day to Day
We’re now looking for an Operations Support Assistant to join our team in a pivotal role supporting both the business’s day-to-day operations and our senior leadership. If you’re someone who enjoys being the “go-to” person, loves keeping things organised, and wants to be part of a collaborative team environment, we’d love to hear from you.
What You'll Be Doing
Assistant Duties to CEO & Managing Director
- Admin support for CEO & MD - making reservations and managing expenses e.g.: credit card management
- Co-ordinating the booking of ad-hoc national/international travel for senior team members as required
- Scheduling, facilitating, providing tech support and PPT presentation formatting for internal meetings, external client meetings and proposals/pitches as required
Operations & Office Support
- Managing subscriptions (adding members, payments, renewals)
- Payments of all invoices (Addison Lee, conference call services etc)
- Working in partnership with 8th Floor Office Manager on to support with overall smooth running of the facilities at Holborn Gate office
- Assist with meeting room bookings and visitor experience
IT & Website
- Leading on Sharepoint Migration IT project
- First point of call for managing IT queries from the team and escalating to IT department where needed.
- Ordering new equipment, managing equipment stock
- First point of call for escalating technical issues with the website and liaising with IT/Third-parties where required

Marketing, Events & New Business Support
- Working closely with New Business & Marketing teams to support coordinating external events and providing admin support for team (managing excel documents to track attendance, event recces, event logistics, managing budgets, managing reminders, working with various partners)
- Updating CDR website and LinkedIn channel to ensure relevant thought leadership and news is communicated in a timely manner
- Maintaining up to date assets for new business proposals including headshots, bios, client logos, case studies
- Support with formatting of relevant external and internal material e.g. new business credentials and proposals, internal presentations e.g. formatting and adding in images
- Use design software Canva to edit marketing collateral (logos and images) and create internal comms e.g. Christmas party invitations
- Updating and circulating agenda and reporting materials for internal new business meetings
- Support new business database management
People & Talent
- Work with the People Team to support with onboarding/offboarding e.g. diarising induction schedules, supporting on scheduling probation reviews
- Work with the People Team to ensure staff handbook is kept updated as required
- Ad hoc team support, organising leavers drinks, ordering gifts, cards, vouchers etc
- Co-ordination of internal training programme e.g. diarisation of sessions and tech support and meeting room prep
ESG
- Gather data, documents and liaise with members of the group in order to submit required ESG reports e.g. EcoVadis, Accordience sustainability report
- Work with the ESG group to promote internal initiatives to team (Plastic Free July, Zero Waste Week, talks)
- Support the DEI taskforce team with admin support and organisation as needed

About You
- Strong PowerPoint, design (including Canva) and document formatting skills
- Microsoft Office, particularly Excel and PowerPoint
- Experience with SharePoint and Microsoft 365
- Event coordination experience
- Excellent written communication and attention to detail
- Ability to manage multiple projects and competing deadlines
- Experience within a PR, communications, marketing or professional services environment preferred
