About the Role
This leading global hedge fund based in the City of London is seeking a Senior Office Manager to oversee their London office alongside several European offices and manage a multi-regional administration team.
Operating at pace in a fast-moving business environment, the ideal candidate will be highly organised, proactive, an exceptional team mentor, and eager to support the firm’s growth. This role enhances office culture, manages physical spaces, ensures compliance, enhances employee well-being, and provides a friendly point of contact for associates and visitors.
You’ll act as the authority for all office-related matters, working closely with Legal, HR, and IT to implement consistent policies, tools, and practices. There’s scope for long-term career progression—this is a crucial position for a proactive, driven individual who thrives in a fast-paced workplace.
Key Responsibilities
Team Leadership & Mentorship
- Provide guidance and mentorship to Office Administrators to ensure their performance meets expectations
- Act as the trusted mentor for the office support team, nurturing professional growth and collaboration
- Partner with regional stakeholders to align teams with business needs and ensure consistent service
Operational & Commercial Support
- Oversee regional office compliance with Health & Safety, Data Protection (ISO 27001), and Security requirements
- Ensure consistent operational standards are maintained and monitored – maintaining customer service excellence
- Foster a positive workplace culture across all offices with uniform standards and practices
- Coordinate desk relocations and physical workspace enhancements

Employee & Recruitment Support
- Assist HR onboarding and offboarding, including seating arrangements and clear communication with hiring managers
- Act as the primary HR liaison for new hires and departures, chairing relocation and wellbeing meetings
Events & Office Management
- Organise and administer office events, maintaining budget control and professional consistency
- Oversee Office Management Jira Helpdesk for assigned regions, conducting regular performance reporting
- Implement shared mailbox and escalation protocols, ensuring timely response systems
Admin & System Coordination
- Administer online platforms including Jira, Confluence, Workday, Concur, and SMS, streamling office operations
- Act as the out-of-hours emergency contact for regional issues and resolve escalations efficiently
- Collaborate with regional Heads of Office to standardise productivity tools and office procedures
- Draft and provide regular reports to the Head of Administration on compliance, performance, and regional progress
Requirements
Functions & Qualifications
- 10+ years of experience in a similar office management or senior support role
- Proven ability to manage multiple projects under tight deadlines in a fast-paced environment
- Dedicated time management and organisation skills, prioritising effectively in high-pressure situations
- Strong proficiency in Microsoft Office, particularly Outlook, Excel, and collaborative platforms (SharePoint)

Technical Skills
- High-water mark confidence with business systems and platforms, with a keen ability to quickly learn new tools
- Experience using ticketing software (e.g Jira) and data-driven reporting
- Priority given to candidates with experience in Finance or Hedge Fund sectors
People & Professional Skills
- Demonstrated ability to mentor, hire, and support both remote and onsite staff
- Leadership in fostering engagement, Wow-worthy service standards and maintaining behavioural clarity
- Experience developing and implementing HR policies in complex working environments
- Approachable personability enabling branding of the firm through consistency in visitor relations
Flexibility
- Willingness to work occasional weekends or events as required
