Order Entry Specialist

Order Processing Specialist (Hybrid) – Alfa Laval

About the Role

As an integral member of our team, you’ll play a pivotal role ensuring seamless, reliable service processes for our customers. Your focus will be on accurate order processing, traceable documentation, and disciplined workflow execution, directly supporting operational clarity and exceptional customer experiences behind the scenes—contributing to our organization’s success.

This is a hybrid opportunity with primary locations in:

  • Greenwood, IN
  • Houston, TX
  • Warrington, PA
  • Richmond, VA

Your Key Responsibilities

You will:

  • Process orders efficiently across systems: OneCRM, One4AL, OneService, ServiceNow, and pre-migration workflows until D365 migration completes.
  • Validate order integrity by cross-verifying order structure against purchase orders (POs) and approved quotes for 100% consistency.
  • Ensure compliance with documentation, scope codes, approvals, labor/service estimates, and parts availability before order entry.
  • Align order structures with billing, shipping, service, and contract requirements.
  • Confirm shipping instructions, logistics costs, and warehouse codes, particularly for AMDC/DC orders.
  • Validate ATS-recommended parts and replacements to maintain compliance and traceability.
  • Maintain data integrity and accuracy in order documentation.
  • Identify and escalate recurring upstream data issues to the manager for resolution.

Requirements

Qualifications & Experience

You have:

  • An associate’s degree in business administration or a related discipline, supplemented by 2–4 years of relevant experience.
  • Hands-on experience in one or more of these areas:
    • Order processing, operations administration, or ERP data management
    • Administrative support, operations coordination, or customer service
    • Data management and system integration
    • Experience with ERP or business information systems (e.g., SAP, ServiceNow).
  • A high level of attention to detail, strong organizational skills, and an ability to validate data across systems.
  • Problem-solving acumen and comfort working within compliance and standard documentation frameworks.
  • Familiarity with order fulfillment workflows and cross-departmental collaboration.
  • Experience supporting audits, order reviews, or readiness checks is highly preferred.

Base salary for this role: $27.00–$30.00 USD/hour. Total compensation is tailored based on market data, skills, and experience level.
