Order Entry Specialist

About the Role

As an integral member of our team, you’ll play a crucial part in ensuring our customers receive dependable service. You’ll manage end-to-end workflows—from order initiation to completion—by:

  • Designing and processing orders in OneCRM, One4AL, OneService, ServiceNow, and other systems until migration to D365.
  • Cross-verifying orders against Purchase Orders (POs) and approved quotes to achieve 100% data accuracy.
  • Validating documentation, scope codes, labor estimates, and parts availability pre-entry.
  • Aligning order structures with billing, shipping, service, and contract compliance.
  • Confirming correct shipping instructions, logistics costs, and warehouse codes for AM/DC orders.
  • Ensuring ATS-recommended parts or replacements comply with traceability safety standards.
  • Upholding order data integrity and backlog precision, resolving recurring data issues upstream.

Prioritising attention to detail, reliability, and collaboration, you’ll drive operational clarity and a seamless service experience.

What You Do

Daily Responsibilities

  • Order data validation in multiple ERP systems to eliminate errors.
    • Cross-check order content against pricing and contractual language.
    • Ensure fast-track approvals align with service and financial deadlines.
  • Bill-shopper and operations collaboration to maintain shipment timelines.
  • Compliance verification: match orders against contract scoping, standards, and safety guidelines.
  • Reports and escalation: flag recurring or critical data quality issues.

Requirements

Education & Experience

  • Associates degree in Business Administration, Finance, Logistics, or related discipline.
  • 2+ years in order entry, supply chain operations, or ERP data management.
  • Technical experience with ERP platforms, CRM systems, or cross-continuum order fulfillment processes.
  • Interest (or professional exposure) to diplomacy and compliance, including audits or readiness checks (highly valued).

Core Skills

  • Attention to detail: validating data across disparate systems with zero exception tolerance.
  • ERP navigation: fluency in ServiceNow, Hindawi, or other industrial service platforms.
  • Collaborative problem-solving: consultative behavior to resolve resource conflicts preventing on-time delivery.
  • Communication: ability to translate technical findings to stakeholders at all levels.
  • successful experience in:
    • Guaranteeing documentation conformance with shared goals
    • Frontline administrative support in operations
    • Or managing compliance or service-level visibility.
