Order Fulfilment Specialist
Salary Range: £30,000–£35,000 per annum, depending on experience
Location: Coventry, UK
Type: Full-time, Permanent, On site
Purpose of the Role
The Order Fulfilment Specialist supports and coordinates the customer order lifecycle, from order receipt through to successful delivery.
The role acts as a central point of coordination between customers, Sales, Commercial, Service, Warehouse, Logistics and European supply teams, ensuring orders are processed accurately, progressed on time and communicated clearly.
The role also supports forecasting, performance reporting and continuous improvement activities across the Supply Chain & Logistics function.
Key Responsibilities
Order Fulfilment
- Process customer orders accurately and within agreed timescales.
- Maintain accurate and up-to-date order information within SAP and other business systems.
- Coordinate with European supply teams to confirm product availability and delivery schedules.
- Monitor the open order book, identify potential delays and coordinate actions or escalate where required.
- Ensure customer requirements and delivery instructions are accurately recorded and communicated.
Communication & Coordination
- Act as a key point of contact for customers regarding order progress and delivery information.
- Provide clear and proactive updates on order status, delivery dates and potential delays.
- Coordinate with Sales, Commercial, Service, Warehouse and Logistics teams to resolve order-related issues.
- Manage shared order mailboxes and ensure requests and actions are progressed within agreed timescales.

Delivery Readiness & Commercial Clearance
- Monitor orders approaching delivery readiness and ensure required internal checks are completed.
- Request customer financial clearance from the Commercial team before delivery arrangements are confirmed.
- Coordinate approved delivery requirements with the Logistics team for transport planning and execution.
- Keep customers informed throughout the delivery process and communicate any changes or delays.
Forecasting & Planning Support
- Support forecasting activities by maintaining accurate order, backlog and customer demand information.
- Review order trends and provide relevant information to support forecasting discussions.
- Work with Sales and other stakeholders to identify changes in expected customer demand.
- Support activities aimed at improving forecast accuracy and visibility.
Performance Reporting & Data Analysis
- Monitor and report relevant KPIs, including on-time delivery, backlog and overdue orders.
- Analyse operational data to identify trends, recurring issues and areas requiring attention.
- Prepare reports and analysis to support operational reviews and decision-making.
Continuous Improvement & Process Development
- Identify opportunities to improve order fulfilment processes, reporting and ways of working.
- Support the development and implementation of procedures and working instructions.
- Contribute to continuous improvement and cross-functional projects.
- Support opportunities to automate and digitalise repetitive activities and reporting.

What we are looking for
- 2+ years' experience in order fulfilment, order processing, customer operations or supply chain coordination within a B2B environment.
- Experience using ERP systems; SAP experience would be advantageous.
- Experience communicating with customers and coordinating activities across different departments.
- Experience in manufacturing, engineering, industrial automation or another technical B2B environment would be advantageous.
- Experience working with international teams would be beneficial.
Skills & Attributes
- Strong Microsoft 365 skills, particularly Excel, Outlook, Word and PowerPoint, with experience using SAP or other ERP systems.
- Excellent attention to detail, data accuracy and organisational skills.
- Clear and professional written and verbal communications skills.
- Proactive and organised, with the ability to prioritise and handle multiple orders and deadlines.
- Strong collaboration skills and confidence working with customers, internal teams and international colleagues.
- Analytical and improvement-focused, with an interest in forecasting, performance reporting and developing better ways of working.
- Experience with reporting, automation or data visualisation tools would be advantageous.
