Order Specialists – Vehicle Acquisition (2 Roles) | Leasing Team
Location: Holman UK HQ (Chippenham) Type: Permanent Salary: Circa £30,000 per annum (depending on experience) Working Arrangement: Hybrid (3 days/week in-office)

About the Role
We’re looking for two exceptional Order Specialists to join our Leasing Team, playing a pivotal role in managing vehicle acquisition orders from initiation to delivery. This critical function ensures customers receive smooth, seamless service while our New Business Sales teams receive accurate, timely quotes.
As an Order Specialist – Vehicle Acquisition, you’ll be the backbone of our process-driven operations, liaising between customers, suppliers, and internal teams to deliver excellence every time.

Key Responsibilities
Your day-to-day tasks will include but aren’t limited to:
Contract & Operations Administration
- Generate lease quotations to support New Business Sales and customers based on accurate data
- Manage end-to-end vehicle orders from inception to delivery, ensuring order confirmation, RTS accreditation, and verification
- Maintain and oversee beacon orders in our bespoke online ordering system
- Provide regular, transparent updates to customers throughout the process
- Handle vehicle returns, ensuring clear communication and compliance with procedures
- Collaborate with the Quality Team to resolve customer complaints or acquisition issues

Customer & Stakeholder Engagement
- Own customer relationships for bulk orders or new acquisitions
- Respond to customer enquiries and escalate complex issues as needed
- Draft bid proposals in partnership with the Sales & Marketing team
- Liaise with suppliers and equipment vendors to support operational delivery
Administrative & Process Excellence
- Perform data manipulation, reporting, and analysis in Microsoft Excel
- Maintain records, conduct follow-ups and close customer processes in compliance with company standards
- Ensure high accuracy and attention to detail in all documentation and reporting
Requirements & Qualities
Experience & Skills
- Preferred: Practical experience in fleet requirements, dealerships, or fleet management
- Essential Skills:
- Strong working knowledge of Microsoft Excel, with experience in data manipulation, reporting, and analytical problem-solving
- Proven commitment to accuracy, attention to detail, and process-driven operations
- Problem-solving skills—ability to find solutions and see projects through to completion
- Excellent communication adapted for different stakeholders (customers, suppliers, colleagues)
- Active listening, questioning techniques, and accurate information gathering
- Priority management and ability to meet tight deadlines under pressure
