Job Overview
We are pleased to offer an exciting opportunity for a highly organised and professional individual to join our Orthoptic team, providing a high standard of administrative support to the Head of Service and across our service. This is a fixed term contract for one year.
You will be part of a friendly, compassionate and supportive team who are committed to delivering high‑quality services. We are looking for someone who shares our values and is motivated to contribute to a positive and efficient working environment.

Main duties of the job
Candidates must have excellent interpersonal skills, be confident in communicating with colleagues and patients, in person and by telephone / email and to be committed to deliver excellent customer services.
The successful candidate will have excellent organisational skills whilst being able to work both autonomously and as in integral part of a clinical team.

Detailed Job Description And Main Responsibilities
- To provide dedicated secretarial support to the Head Orthoptist including diary management and preparation for meetings.
- Support patient and other Orthoptic service enquiries relating to booking appointments, answering the telephone, deal with mail, emails and re-directing enquiries as appropriate.
- Organise monthly all service staff meetings and take notes and prepare the minutes.
- Liaise with the medical, secretarial and clerical staff within the specialist services as necessary.
- To be proficient in using Microsoft Office and healthcare systems e.g. PAS, EPR and Dictation software.
- To provide administrative support to the Botulinum toxin clinic ensuring weekly clinic lists are provided to the coding department.
- To maintain statistical records as required to assist the Head Orthoptist in collating data for reports.
- Supporting the service to ensure monthly Tendable audits are completed on time.
- To liaise with service ordering team to ensure adequate stock of office supplies and clinical consumables, checking all receipted and support general enquiries.
- To support e-rostering department team with any enquiries relating to overtime and unplanned leave. Liaise with e-roster central team as appropriate.
- Computing tasks involving use of word processing, spreadsheets, internet and email.
- To communicate with all staff, patients and visitors in a courteous and helpful manner.
- To cooperate with the Head and Band 8 Orthoptists to ensure that the service is effective and safe.
- To draw any problems to the attention of the Head Orthoptist or senior Orthoptic team.

Education / Qualifications
Essential criteria
- Educated to GCSE level (including English and Maths to GCSE A-C), or equivalent qualifications.
Further training and knowledge
Essential criteria
- Good working knowledge of microsoft office and hospital IT systems
- Health and safety awareness
Desirable criteria
- NVQ Administration
Experience
