PA to Commercial Director

Executive Personal Assistant / Senior Admin Support – Major Infrastructure Delivery (MID)

Location: Hybrid – Peterborough, with 3 days in-office Contract: 12-month fixed-term Salary: £35k+ (depending on skills/experience) Working arrangement: Full-time or flexible part-time options


About the Role

Be the driving force behind the Commercial Director, ensuring priorities stay on track and critical programmes deliver smoothly. In this fast-paced, front-line role, you’ll work as the trusted partner to deliver major projects, including Coastal Waters, Programme Delivery Partner, and the Major Projects Framework.

Collaborating closely with the Director and senior leadership, you’ll provide strategic admin support, drive collaboration, maintain efficiency, and ensure a well-run office function for this dynamic team.


Responsibilities

  • Senior leadership support:

    • Act as the right-hand to the Commercial Director, managing a complex diary to align commitments and ensure seamless preparation for meetings and key initiatives.
    • Play a pivotal role across commercial operations, coordinating executive support, project coordination, and day-to-day efficiency.
  • Operational execution:

    • Maintain smooth workflows by handling internal/external communications, drafting high-quality documents and presentations, and preventing delays.
    • Track progression of critical activities, coordinating meetings, actions, and stakeholder deliverables.

  • Stakeholder management:

    • Build strong relationships with internal/external contacts, acting as the primary point of contact for the Director in a professional and approachable manner.
    • Represent the Director fulfilment’s ethical and practical responsibilities, bridging communication gaps with confidence.
  • People & organisational focus:

    • Assist in onboarding, internal process optimisation, and team initiatives to enhance workflows and engagement.
    • Design collaborative events to support culture and team cohesion.
  • Administrative logistics:

    • Oversee travel arrangements, events, and logistics, adapting efficiently to changing priorities in a high-pressure environment.
    • Ensure a smart operations centre, maintaining systems, resources, and processes.

Requirements

  • Proven track record in Executive PA, Senior Admin, or high-level office support, preferably within senior management.
  • Exceptional organisational skills with unmatched attention to detail and ability to multitask effortlessly.
  • Communication acumen—articulate in-person and written, adept at building trust, maintaining professionalism, and managing delicate situations.
  • Diplomatic and customer-centric—handling confidential tasks with discretion, using bias-free judgement, and advocating for employee/stakeholder needs.
  • Self-directed and agile—anticipating needs, adjusting to ambiguity, and thriving in dynamic environments.
  • Technical proficiency in Microsoft Office Suite, including advanced spreadsheet management (Excel).
