As we continue to grow, we are seeking a detail-oriented and motivated Paralegal to join our team.
Position Overview
The Immigration Paralegal will provide critical support to our attorneys by handling substantive legal work, including case preparation and document filing. Successful candidates will demonstrate strong attention to detail, exceptional organisational skills, the ability to multitask under pressure, and a commitment to delivering exceptional client support.
This role requires frequent use of legal software for research, document management, and electronic filings.
Key Responsibilities
Case & Document Preparation
- Assist attorneys with case preparation for interviews, hearings, and court appearances
- Conduct preliminary legal and factual research, including:
- Local and federal statutes
- Country conditions
- Case law
- Draft and prepare the following documents for attorney review:
- Letters & pleadings
- Petitions & applications
- Motions, briefs, contracts, affidavits, declarations
- Compile and organise evidence and supporting documentation
- File required documents with:
- USCIS
- Department of State
- NVC (National Visa Center)
- EOIR (Executive Office for Immigration Review)
- BIA (Board of Immigration Appeals)
- Other relevant courts

Calendar & Deadline Management
- Monitor and maintain the master calendar for attorneys and deadlines
- Ensure timely scheduling of appointments, filings, and responses to deadlines
- Confirm or update client contact information
- Guarantee timely responses to agency requests
Client & Case Management
- Organise and maintain paper and digital case files in compliance with firm procedures
- Engage with clients to:
- Gather essential information
- Provide case status updates
- Draft correspondence (including closure letters)
- Confirm attendance for court dates and scheduled appointments
- Conduct case status audits
- Submit follow-ups and inquiries to USCIS as required
- Keep comprehensive case notes for cross-departmental support
Communication & Scheduling
- Answer client calls and direct them efficiently
- Respond to client communications within 24 hours (excluding weekends/holidays)
- Manage shared and personal emails
- Set out-of-office protocols or redirect calls if absent for over 24 hours
- Schedule consultations, payments, and reminders
- Provide walk-in assistance or encourage appointment booking where possible
Administrative & Office Support
- Assist with case intake, billing, and client management systems
- Maintain current client contact lists
- Conduct client/witness interviews and investigations, documenting outcomes
- Support clerical tasks:
- Filing, shredding, record keeping, scanning
- Oversee support staff/student employees (where applicable)
- Maintain professional development in immigration law through workshops/seminars

In-Office Responsibilities
- Ensure a welcoming reception area and greet all visitors
- Offer refreshments for clients
- Maintain coffee stations, mini fridges, and consultation table cleanliness
- Monitor and restock office supplies
- Organise physical files alphabetically per firm procedures
- Secure the office daily (lights/shut outters)
- Perform maintenance tasks, including:
- Dusting, vacuuming, garbage/recycling management
- Assisting team members in public area upkeep
Qualifications & Skills
- Excellent written and verbal communication skills
- High professionalism & discretion, especially with sensitive client data
- Unimpeachable attention to detail (grammar, punctuation, spelling)
- Strong time management & prioritisation in a deadline-driven environment
- Proficient typing and computer skills, with legal software experience preferred
- Familiarity with scheduling, calendars, and record-keeping systems
- Ability to work independently and collaboratively in a small team
- Prior legal or administrative experience is a plus
- Bilingual in Spanish (stronge preferred)
Work Hours & Benefits
- Full-time (Monday–Friday, 9:00 a.m. – 5:00 p.m.)
