We are seeking a Paralegal / Office Administrator to join our Legal team based in London, UK. Reporting to the Legal Manager (day-to-day) and General Manager (administration).
About the Role
This hybrid, high-impact role combines legal support with office management, ideal for candidates who thrive in dynamic, centre-stage environments. You’ll act as a micro-office manager while leveraging robust paralegal expertise to drive efficiency in legal processes and broader operational coordination. An entrepreneurial spirit, detail orientation, and adaptability are crucial as you develop processes for a small, fast-growing team.
Key requirements:
- Balance between legal support (document management, contracts, compliance) and administrative coordination (scheduling, vendor relations, office logistics)
- Autonomy to own initiatives while maintaining clear alignment with UK and HQ stakeholders
- Proactive, solution-oriented mindset and passion for organisational integration.
Key Responsibilities
Legal Support & Document Management
- Collaborate with Legal Manager on routine drafting/editing of:
- Agreements, contracts, and correspondence
- Standard clause templates and version control systems
- Manage contract lifecycle from creation to execution, including:
- Version tracking (legal/human resource systems)
- Title/risk capture and signer coordination
- Cross-border approvals (UK HQ, Istanbul)
- Streamline document repositories and internal processes, ensuring:
- Compliance-related tasks are documented and auditable
- Cross-functional workstreams (legal/purchasing/operations) are aligned
- Drive initiatives to improve document handling (e.g., workflows, metadata tagging, retention).

Office Administration & Coordination
- Executive support:
- Schedule/execute prioritised meetings with General Manager, advisors, and cross-regional teams.
- Prepare agendas, chase action items, and follow up post-meetings.
- Procurement coordination:
- Process invoicing, approve expenditures, and manage internal/external payments.
- Team logistics:
- Organise travel: bookings, visas, and hospitality where applicable.
- Liaise with CARE offices and Istanbul HQ on shared operational matters (e.g., cultural transition for teams).
Office Operations & Facilities
- Lead day-to-day oversight of headquarters in:
- Supplier managing (IT/cleaning/vending) via local contracts.
- Compliance with workplace health/safety policies.
- Office expansions or relocations in London.
- Core administrative tasks:
- Reception/welcoming visitors; distributed office logistics.
- Appointment calendars (immigration, facilities, vendor visits).
- Personal/staff onboarding (equipment setups, IT onboarding).
- Vigilance:
- All mail (UK/Istanbul) /parcel tracking to designees.
- 3rd-party vendor (e.g., DHL/external meeting rooms) leadership.

Requirements
- 3–6 years in paralegal work (law firms/in-house preferred) or equivalent office administration experience.
- English proficiency essential (document creation/minutes/emails).
- Mastery of Microsoft Office (Excel/PowerPoint for templates) and document management (e.g., SharePoint).
- Practical skills in:
- Contract workflows (e.g., iManage/NetDocuments).
- Suppliers coordination (service contracts/GPoA).
- UK-based employment eligibility (sponsorship unavailable).
