About Healistic

Healistic is a UK private digital e-prescribing platform that connects prescribers and clinics to pharmacies for fast, fully digital prescription fulfilment. It is free for doctors to use, lets them prescribe in under a minute, and can deliver to patients in London in as little as two hours. We are a growing healthcare technology company with a lean team of around a dozen people, and we are scaling quickly across prescribers, clinics, and pharmacy partners. As our transaction volumes and supplier and customer relationships grow, we are bringing bookkeeping in-house on a part-time basis to keep our finances clean, timely, and audit-ready, and to give our external accountants a single reliable point of contact.

The role

We are looking for a highly organised, hands-on Office Manager to keep the operational backbone of the business running. This is a broad role that combines finance and bookkeeping, executive assistant support to the CEO, HR administration, and compliance and document management. You will be the person who keeps things in order across the business, working independently and comfortably switching between very different types of task. It suits someone who thrives in a busy, fast-moving environment and stays calm and structured under pressure.

Key responsibilities

Finance and bookkeeping Process supplier invoices and prepare payment runs and bank transfers for approval Raise and send customer invoices, and follow up on overdue payments Keep the general ledger up to date in Xero and capture receipts and bills through Dext Perform regular bank and credit card reconciliations Assist with VAT returns and prepare clean information for the external accountants Track cash flow and produce simple management reports

Executive assistant support to the CEO Manage the CEO’s calendar, schedule meetings, and coordinate travel Help organise and prioritise the CEO’s inbox and correspondence Prepare agendas, take minutes, and follow up on action points Handle expenses and general administrative support Anticipate the CEO’s needs and act on them before being asked

HR administration Maintain employee records and keep HR documentation up to date Support onboarding and offboarding of staff Track holiday, absence, and other leave Coordinate contracts, offer letters, and policy documents Help organise internal communications and team activities

Compliance and document management Organise, file, and maintain company and compliance documents Keep records tidy, secure, and easy to retrieve Track key dates, renewals, and filing deadlines Ensure sensitive documents are handled confidentially

What we are looking for

At least 5 years of experience supporting extremely busy, fast-paced environments, ideally in scaleups Proven experience in an office manager, operations, or senior administrative role A proactive approach: you anticipate what is needed and think several steps ahead rather than waiting to be asked Highly structured and organised, able to juggle finance, admin, HR, and compliance work without dropping details Solid bookkeeping experience, ideally AAT qualified (or ICB / IAB), with working knowledge of UK VAT and Making Tax Digital Confident with Xero and Dext, and comfortable with spreadsheets Perfect written and spoken English High attention to detail and accuracy Discreet and trustworthy with confidential financial, HR, and personal information UK-based, and comfortable working independently in a remote, part-time role

Nice to have

Experience supporting a founder or senior executive Experience with HR administration or basic HR processes Experience in health, healthtech, or digital health (or another regulated environment) Familiarity with tools like Notion, Google Workspace, and Slack
