Job Overview
A fantastic opportunity has recently arisen within the Breast Care Centre for a Patient Pathway Coordinator to join our busy departments across Southmead Hospital and Weston General Hospital. This team are focused on helping manage the administrative processes for patients who suffer with Breast Cancer in the Bristol and South West area.
The ideal candidate will need to be able to work alongside the existing administrative teams across both sites (Southmead Hospital and Weston General Hospital) in a calm, logical, organised and methodical way whilst being able to multi-task in a busy environment with complex patient pathways.
The role will be to support all surgical administration aspects of the patient pathway in line with 2WW cancer pathways and 18-week referral to treatment guidelines, therefore RTT and cancer knowledge is desirable.
This role demands exceptional organisational skills and resilience, as it involves managing high-volume, time-sensitive tasks in a fast-paced, high-pressure environment. The ideal candidate will thrive under stress, efficiently juggling multiple priorities while supporting a critical and compassionate cancer care team.
Candidate must be available to work within the Breast Care department at Weston General Hospital when required.
Main duties of the job
- Schedule new/followup/post-op outpatient appointments, pre-admission, treatments, diagnostics and operation dates, ensuring patients are informed with reasonable notice and relevant paperwork is completed.
- Ensure elective attendances/admissions are promptly and accurately recorded on the appropriate PAS system(s).
- Accurately record and ensure elective waiting times, including 31 and 62-day targets, are met, escalating concerns to the Support Manager.
- Involvement in data validation and managing outpatient waiting list data.
- Follow correct booking processes (full/partial booking), accurately recording elective/non-elective activity.
- Regularly liaise with admin and clinical teams at Weston General Hospital to ensure patient pathways are coordinated effectively.
- Work closely with the CNS team on administrative tasks.
- Manage theatre lists for consultants across multiple sites.
- Be aware of the needs and concerns of patients, providing a friendly, efficient service, and using effective listening/communication skills when dealing with potentially distressed or bereaved patients and/or relatives. Use an empathetic approach, seeking assistance from clinical staff/managers as appropriate.
- Promptly answer telephone inquiries, relay messages, and take appropriate action, including inquiries from patients, GPs, and community hospitals. Assist Patient Pathway Assistants with their queries.
- Actively participate in and prepare relevant information for the weekly Breast MDT.

Detailed Job Description And Main Responsibilities

- To liaise with partner organisations to assist in facilitating the treatment of patients. This includes liaison with primary, secondary and tertiary care providers. Ensure that comprehensive demographic and waiting list information is recorded &/or provided at the point of receipt of referral or transfer to the partner organisation to warrant that patients are treated in accordance with elective waiting time standards
- To ensure that funding has been authorised for identified procedures prior to booking a patient for surgery
- To ensure that kit necessary for procedures has been identified.
- To manage theatre lists for all consultants across multiple sites
- To ensure that valuable theatre resources are utilised to maximum potential, including replacing short notice cancellations.
- To cancel patient appointments &/or TCI dates as requested and ensure that they are rescheduled in accordance with Trust policy. Accurately record all cancellations and cancellation reasons
- Provide information to elective patients (including distressed and anxious patients/relatives as required). Be aware of the needs and concerns of patients and provide a friendly, efficient and courteous service to patients, relatives and visitors, providing them with advice and information as appropriate.
- Regular communication with consultant teams, clinical staff and directorate management to enable efficient processes.
- Be aware of correct booking processes which are being followed e.g. full booking/partial booking, accurate recording of elective/ non-elective activity
- Be aware of the needs and concerns of patients and to provide a friendly, efficient service to the patients. Use effective listening/communication skills when dealing with potentially distressed or bereaved patients and/or relatives. Use empathetic approach to patients and/or relatives seeking assistance from clinical staff/ managers as appropriate.
- To liaise with Cancer Services MDT Coordinator(s) to ensure that all patients with suspected/confirmed malignancy are treated in accordance with the updated cancer strategy.
- Promptly answer telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate. This will include enquiries from patients, their GPs and community hospitals.
- As appropriate, schedule new, follow-up, post op outpatient appointments, pre-admission appointments, organise investigative treatments, diagnostic appointments and TCI/operation dates ensuring that patients are informed, with reasonable notice, and that all relevant paperwork is completed for given appointment. This includes ensuring that all elective attendances/admissions are promptly and accurately recorded on the appropriate PAS system(s).
- To accurately record and be responsible for ensuring elective waiting times are met including 31 and 62 day targets, escalating areas of concerns to Support Manager.
- Provide administrative support to consultant/clinical teams including the management of clinician’s timetables. Confirmation of consultant’s timetables to ensure that appropriate cover is available for all clinical sessions, alongside the Support Manager.
- To undertake additional administrative tasks and responsibilities within the specialty/clinical division as required by the division or management team
- Adhere to all Trust policies including Infection Control, Hygiene Code, Data Protection Act, Uniform Policy, taking appropriate account of patients’ rights and diversity and ensuring fair access to services.
- The post holder will undertake any other duties which may be reasonably regarded as within the nature of the duties, responsibilities and grade of the post as defined, subject to the provision that appropriate training is given and that wherever possible significant changes of a permanent nature shall be mutually agreed and incorporated into the job
