Front Desk/Clerical Support Specialist

(Medical Reception/Clerical Support Co-ordinator)


About the Role

We are seeking a dedicated and cheerful professional to join our team as a Front Desk/Clerical Support Specialist at Elliot Health System, covering the Dover and Portsmouth offices in a Monday–Friday 8:00 AM–4:30 PM role.

You will serve as a customer service champion, providing high-quality support for patients, visitors, and staff across all clerical functions. Key tasks include front desk operations, patient registration, appointment scheduling, medical record management, financial processes, and compliance activities—ensuring exceptional experiences while delivering care efficiently.


Responsibilities

Patient & Visitor Support

  • Greet patients, visitors, and households warmly upon arrival, perform check-in procedures, and efficiently notify relevant staff of arrivals.
  • Deliver outstanding customer service and portray a responsive, professional image of Elliot Health System (EHS) in every interaction.

Appointment & Patient Care Coordination

  • Field incoming calls, direct inquiries appropriately, and obtain detailed messages.
  • Conduct insurance verification (IVA) as required to meet TJC (The Joint Commission) and regulatory standards for eligible patients.
  • Gather insurance data to ensure proper pre-authorizations and eligibility confirmations are met.
  • Schedule therapy evaluations and visits in adherence to system protocols.
  • Guidedly complete the registration process, explain policies, and assist patients with required paperwork, either in person or over the phone when appropriate.

Administrative & Facilities

  • Manage daily productivity tasks to meet established cliently standards for assigned area(s).
  • Interact professionally with patients regarding question zones and grievances, offering prompt resolutions.
  • Retry and accurately maintain medical records, ensuring complete, up-to-date patient data.
  • Collect patient fees or copays per system policies.
  • Process referrals per organisational processes.

Education & Experience Requirements

  • Education: High School Diploma/GED or equivalent.
  • Experience: Proven background in a healthcare setting, preferably in an administrative role (e.g., front desk, receptionist, medical secretary).
  • Technical Skills: Proficiency with Microsoft Office (Word, Excel).
  • Regulatory Familiarity: Awareness of The Joint Commission (TJC) standards and governmental healthcare policies.

Work Environment

✔ Monday–Friday, 8:00 AM–4:30 PM (with critical decision-making on-site). ✔ Based out of both Dover and Portsmouth office hubs.
