About the Role
We are seeking a highly organised and patient-focused Patient Services Coordinator to support the delivery of a compliant and high-quality service. Reporting directly under the supervision of the Responsible Pharmacist, you will play a pivotal role in:
- Coordination of prescription management
- Maintenance of patient stock levels for medical and ancillary products
- Processing orders for home delivery
Key Responsibilities
Patient & Service Coordination
- Manage inbound and outbound calls and emails to process patient orders and resolve queries promptedly
- Activate new patients onto the service, ensuring adherence to detailed requirements and smooth delivery coordination
- Accurately and efficiently enter prescriptions, patient instructions, and progress notes into the Patient Management System
Operational & Administrative Support
- Process patient prescriptions, including chargeable items, in strict compliance with clinical guidelines
- Monitor collections and returns, ensuring deadlines are consistently met
- Maintain accurate and compliant documentation, including real-time tracking, filing, and confidentiality-secure archiving of sensitive data

Compliance & Safety
- Ensure patients receive products and services in a confidential and secure manner, adhering to NHS and healthcare regulations
- Escalate system issues, report errors or near misses, and implement corrective measures with guidance from the Responsible Pharmacist
- Record patient complaints accurately, ensuring professional and efficient escalation for clinical or safety-related concerns
Representation & Continuity
- Support a culture that prioritises patient-centred, safe, and consultative dispensing practices
- Represent Baxter’s commitment to operational excellence, maintaining high levels of service reliability and responsiveness
Requirements
Experience & Qualifications
- Experience as a Dispensing Assistant (Level 2 or equivalent recognised qualification) or demonstrated willingness to complete training competently
- Strong background in customer service, especially in patient-facing or healthcare environments (hebapharm, clinical support, or busy pharmacies are beneficial)
- W مقال in CRM or patient management systems (example: Current Navinet users or validated experience with similar platforms)
- Previous healthcare experience – advantageous, even if limited to ancillary roles
- Proven adaptability in handling fast-paced environments, maintaining efficiency and accuracy
Core Competencies
- Professional and patient-focused communication skills, including de-escalation techniques
- Critical attention to detail for accurate data entry, order processing, and compliance
- Proactive prioritisation in handling multiple tasks simultaneously, while meeting tight deadlines
- Proficiency in Microsoft Office and essential digital reporting tools
- Collaborative mindset, align among clinical teams and users to achieve system goals
- Basic healthcare awareness (structures, guidelines) would be desirable—the NHS pathway against consumer rights adds advantage
