Payroll Administrator
Payroll Administrator – Multi-Entity Environment

Overview of the Role
This role is central to supporting the finance function, with a strong emphasis on payroll accuracy, financial processing, and cross-team collaboration. Key duties include:
- Managing and validating payroll data
- Ensuring journals are correctly prepared and posted across multiple entities
- Supporting reporting through 12-month average pay calculations
- Acting as the primary contract for payroll queries
- Processing weekly purchasing card transactions
- Providing flexible support across purchase and sales ledger activities when required
- Assisting with during busy periods
- Supporting ad hoc finance projects
- Upholding company policy and procedures compliance
The role demands time management under pressure, ability to meet tight deadlines, and strong stakeholder engagement across internal and external audiences.
Key Responsibilities
- Data Processing & Payroll Administration
- Input, verify, and process timesheets, holidays, absences, overtime, and other payroll variables before submission
- Coordinate payroll data submission in line with the monthly cycle

Financial Reporting & Journals
- Prepare and post payroll journals across multiple entities, ensuring accurate nominal coding, cost centres, and entity mapping
- Produce 12-month average pay calculations for reporting purposes

Query Management
- Act as the primary point of contact for payroll-related employee queries
- Handle and clarify payroll issues promptly and professionally

Purchasing Card & Ledger Support
- Process weekly purchasing card transactions, cost-coding into MRI
- Assist with purchase and sales ledger reconciliations across subsidiaries as required

Support & Ad Hoc Work
- Provide operational cover for the wider finance team during peak periods
- Contribute to ad hoc finance projects as requested by the department

Compliance & Flexibility
- Adhere to all company policies, procedures, and work instructions
- Duties may expand based on evolving business demands
Requirements
Experience & Qualifications
- Minimum 2+ years in a payroll administration role, ideally within a multi-entity environment
- Strong working knowledge of:
- Payroll legislation (including PAYE, NIC, auto-enrolment, and statutory payments)
- Journal postings and control account reconciliations
- Experience handling high-volume data processing with precision
- Microsoft Business Central experience is desirable but not essential
Soft Skills & Key Competencies
- Excellent communication – Ability to engage clearly with all levels (verbal and written)
- Essential: Must be able to travel to the office (due to limited public transport access)
- Accuracy & attention to detail
- Ability to work under pressure while meeting deadlines
