Payroll & HR Administrator

Payroll and HR Administrator (Manufacturing - Port of Nigg)

Desired Start Date: August/September 2026

Role Purpose

We are seeking an experienced and detail-oriented Payroll and HR Administrator to join our team. The primary focus of this role is the accurate and timely administration of the company’s payroll, ensuring compliance with all relevant legislation and company policies. Alongside payroll responsibilities, the successful candidate will provide administrative support across a range of HR activities, helping to maintain accurate employee records and supporting the employee lifecycle. This role requires someone with proven payroll experience, a strong understanding of manufacturing environments, and expertise in statutory processes to thrive in a fast-paced, industrial setting.


Key Accountabilities

Payroll (Primary Responsibilities)

  • Prepare, process, and administer the monthly payroll for all employees.
  • Ensure accurate and timely payroll processing within agreed deadlines.
  • Calculate and process:
    • Overtime & shift allowances
    • Bonuses & salary adjustments
    • Deductions including pensions
    • Statutory payments (e.g., SSP, SMP, SPP)
  • Handle starters, leavers, and employee amendments within the payroll system.
  • Ensure compliance with:
    • HMRC legislation
    • PAYE
    • National Insurance
    • Pension auto-enrolment
  • Liaise with payroll software providers, pension companies, and HMRC as required.
  • Reconcile payroll reports and maintain accurate payroll records.
  • Resolve employee payroll queries confidentially and professionally.
  • Support audits and prepare payroll reports for management and finance teams.
  • Maintain strict confidentiality of payroll data, in line with data protection legislation.

HR Administration

  • Maintain accurate employee personnel files and HR records.
  • Produce employment contracts, offer letters, and related documentation.
  • Administer new starter onboarding processes, including documentation.
  • Process employee changes such as:
    • Promotions
    • Salary reviews
    • Transfers
    • Contractual amendments
  • Monitor probation reviews and support appraisal processes.
  • Track absence, holiday, and training records.
  • Assist with:
    • Recruitment administration (interview scheduling, correspondence)
    • Disciplinary and grievance procedures
    • Absence management
  • Support HR reporting, employee data analysis, and management information.
  • Assist with HR projects and continuous improvement initiatives.
  • Provide general administrative support to the HR department.

Essential Requirements

  • Significant experience in payroll administration, ideally in manufacturing, engineering, or industrial industries.
  • Proven ability to process end-to-end payroll with minimal supervision.
  • Strong UK payroll legislation knowledge, including:
    • PAYE
    • National Insurance
    • Statutory payments
    • Pension auto-enrolment
  • Experience with payroll software and HR information systems.
  • Exceptional attention to detail and numerical accuracy.
  • Advanced Microsoft Office skills (particularly Excel).
  • High-level organisational skills to manage multiple deadlines.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong communication and interpersonal abilities.

Desirable Qualifications & Experience

  • Previous HR administrative support experience.
  • Proficiency in time and attendance systems, especially in industrial settings.
  • Understanding of:
    • Manufacturing shift patterns
    • Overtime and payroll calculations
  • Experience with ERP or integrated HR/payroll systems.
  • Knowledge of employment legislation and best HR practices.
  • GCSEs/Nat 5s in Maths and English.

Qualifications (not essential, but beneficial):

  • Payroll or Business Administration qualification.
  • CIPD Level 3 Foundation Certificate in People Practice (or willingness to pursue).

Sumitomo Electric, one of the world’s leading manufacturers of high-voltage electricity transmission cables (including 525kV HVDC), is investing £350M in a cutting-edge factory at Port of Nigg, Scotland, in partnership with the Scottish Government.
