About the Role

Join our international team in an exciting opportunity to redefine payroll processes across the EMEA region. As the Payroll Process Expert, you’ll shape the future of payroll by driving continuous improvement, leveraging AI and automation, and ensuring scalable, compliant systems. Reporting to the Regional Head of Payroll, this role focuses on process design, system integration, and stakeholder collaboration—not day-to-day payroll tasks.

You’ll work alongside the Payroll Operations Manager to build robust systems, ensure adherence to industry standards, and strategically enhance workflows for a complex global organisation.


Key Responsibilities

1. Process Design & Innovation

  • Lead the design and implementation of modern, scalable payroll processes that prioritise efficiency and innovation.
  • Identify opportunities to integrate AI and automation to streamline workflows and reduce manual labour.
  • Collaborate with teams to optimise processes, ensuring scalability and alignment with business goals.
  • Proactively identify inefficiencies and implement solutions for continuous improvement.

2. Strategic Projects & System Integration

  • Play a pivotal role in developing and integrating new payroll systems, ensuring they meet industry standards.
  • Support the Regional Payroll Lead in delivering strategic projects, including:
    • System implementations and transitions.
    • Mergers, acquisitions, and new country payroll implementations.
  • Provide operational insights and recommendations for payroll-related strategic decisions.

3. Stakeholder & Relationship Management

  • Build and maintain strong relationships with HR, Finance, and Benefits teams to align payroll requirements.
  • Collaborate with external payroll providers to uphold high service standards.
  • Act as a trusted advisor, guiding stakeholders on processes and system capabilities.
  • Provide regular updates to the Regional Payroll Lead on project status, challenges, and opportunities.

4. Compliance & Data Integrity

  • Ensure compliance with statutory regulations, company policies, and GDPR in payroll processes.
  • Conduct regular audits to verify payroll data accuracy, security, and integrity.
  • Maintain up-to-date procedures and ensure consistent adherence across EMEA.
  • Serve as a key contact for internal/external audits, delivering documentation promptly.

Qualifications & Skills

Essential

  • Extensive multi-country payroll experience, particularly in EMEA, with expertise in complex organisations.
  • Deep understanding of payroll legislation, including HMRC regulations and GDPR compliance.
  • Proven ability to act as a payroll subject matter expert, advising stakeholders.
  • Exceptional organisation and attention to detail.
  • Strong stakeholder management and conflict-resolution skills.
  • Process improvement expertise, including AI/automation familiarity.
  • Advanced Excel skills (e.g., XLOOKUP, data analysis).
  • Ability to manage multiple priorities in a fast-paced environment.

Desirable

  • Experience in payroll system administration and process automation.
  • Knowledge of shared services environments.
  • Professional payroll qualifications (e.g., CIPP).
  • Background in project management or strategic initiatives.
