MAIN PURPOSE OF THE ROLE:
The Payroll Specialist is responsible for the end-to-end management of payroll operations, ensuring accurate and timely payroll processing across multiple countries. This role includes ownership of in-house UK payroll and oversight (validation and approval) of third-party payroll providers in Belgium, Germany, the Netherlands & USA. The role ensures compliance with local legislation, drives process improvements, and supports wider HR functions including compensation and benefits.
Payroll Operations
- Manage and process the in-house UK payroll, ensuring accuracy, timeliness, and compliance.
- Review, validate, and approve payroll outputs from third-party (SDWorx) providers in Belgium and the Netherlands.
- Act as the primary point of contact for payroll queries across all regions.
- Ensure payroll deadlines are consistently met in line with internal and statutory timelines.

Validation and Controls
- Perform detailed payroll reconciliations and variance analysis across all payrolls.
- Investigate discrepancies, identify root causes, and resolve issues promptly.
- Maintain robust payroll controls to ensure data integrity and accuracy.
- Review payroll reports and sign-off prior to payment processing.
Compliance & Governance
- Ensure payroll processes adhere to local legislation and regulatory requirements.
- Stay up to date with changes in tax laws, employment legislation, and payroll regulations.
- Support internal and external audits by providing documentation and explanations as required.
- Ensure compliance with GDPR and data security standards in payroll processing.
Vendor & Stakeholder Management

- Manage relationships with external payroll providers.
- Monitor service delivery against SLAs and escalate issues where necessary.
- Collaborate with HR, Finance, and external stakeholders to ensure smooth payroll operations.
Systems & Process Improvement
- Support the implementation and optimisation of HR and payroll systems.
- Drive continuous improvement initiatives to enhance payroll efficiency and accuracy.
- Assist with system upgrades, testing, and process documentation.
- Identify opportunities to automate manual processes.
Compensation & Benefits Support
- Provide support on compensation and benefits processes, including allowances, bonuses, and deductions.
- Partner with HR to ensure accurate payroll integration of reward programmes.
- Assist with benefits administration as required.
