Administration Manager (Senior Consultant) – Hybrid

About The Role

We are seeking an Administration Manager to lead our pensions administration team, providing high-quality insured pension services to XPS Administration clients while contributing to team and business objectives. This is a hybrid role requiring office attendance twice per week (with increased presence during onboarding).

Responsibilities revolve around insured pension schemes (including defined benefit, defined contribution, career average revalued earnings, and hybrid plans). You will act as a primary contact for insurer clients, oversee team performance and client relationships, and advance commercial and legal compliance objectives.


Key Responsibilities

Client & Service Delivery

  • Prime point of contact for insurer clients, ensuring high-quality administration and consultancy services.
  • Lead daily management of assigned insurance portfolio, including client meetings, relationship building, and proactive scheme knowledge mastery.
  • Share technical expertise in pensions consultations, staying updated on legislative/technical developments.
  • Actively contribute to XPS’ marketing initiatives, new business pitches, and client‐facing events.

Project & Financial Oversight

  • Manage end-to-end pensions administration projects (e.g., policy documents, pension increases, governance reports), ensuring compliance with legislative and SLA requirements.
  • Billing & financial accountability—coordinate with operations/finance teams to ensure on-time billing and payment processing, accurate time recording, and utilisation/recovery targets.
  • Scrutinise team work (quality checks), sign off correspondence, and audit internal processes.

Team Leadership & Development

  • Line manage a designated team (performance appraisal, objective setting, professional development, HR responsibilities).
  • Mentor, train, and coach team members, fostering employees’ adherence to company policies.
  • Enhance workflows—allocate tasks, prioritise workload, and facilitate progress monitoring in team meetings.
  • Drive innovation in pensions administration, implementing process improvements (e.g., quality assurance tools, centralised tracking).

Cross-functional Collaboration

  • Liaise with other departments (e.g., Pensions Accounts, Payroll, Consulting, Business Support).
  • Work with shadow/transitional teams during pricing periods and buy-in/buy-out processes.
  • Stakeholder representation—attend client & internal meetings (service delivery reviews, pitches for trustees considering insurance).

Essential Skills & Experience

  • Extensive experience in insured pensions administration (e.g., DB/DC schemes, leavers/deaths/transfers, statutory reporting, renewals).
  • Deep knowledge of UK pensions legislation and ability to apply it in policy/consulting contexts.
  • Proven supervisory leadership (team management, recruitment, performance feedback).
  • Verifiable numerical aptitude (evidenced by academic work or prior achievements).
  • Project management experience (pension-related deliverables under deadlines).
  • IT proficiency in Microsoft Word (Excel for data tracking/charts), Outlook (calendar/correspondence), PowerPoint (client/team presentations)).
