People Administrator

Working Pattern: Monday–Friday, 5 over 7, 40 hours per week

Location: Leicester, LE3 8JR

The Role

As People Administrator, you will be responsible for delivering accurate, timely, and compliant HR administration across the employee lifecycle. From the moment a new starter accepts their offer through to changes during their employment, you will be the person who makes sure everything is processed correctly, communicated clearly, and recorded properly.

In a business growing at pace, the volume and variety of activity is high, so you will need to be well organised, detail oriented, and comfortable managing competing priorities. You will work closely with People Business Partners, Payroll, Recruitment, and site managers to ensure a seamless experience for employees and the business alike.

Main Responsibilities

  • Manage the end-to-end administration of new starters, including issuing offer letters, contracts of employment, and onboarding documentation in a timely manner.
  • Set up new employees accurately on the HR system, ensuring all personal, role, and pay details are entered correctly and on time.
  • Conduct right to work checks for all new employees in line with current UK Home Office requirements, including manual document checks and use of the online checking service where applicable.
  • Maintain accurate and up-to-date records of right to work documentation, including time-limited permissions, and proactively manage expiry dates and renewal reminders.
  • Draft and issue contracts of employment and contract amendment letters for a wide range of changes, including promotions, pay reviews, hours changes, site transfers, and role changes.
  • Ensure all contractual documentation is accurate, appropriately authorised, and issued within agreed timescales.
  • Act as a key user of the HR information system (HRIS), maintaining accurate and up-to-date employee records throughout the employee lifecycle.
  • Process all changes to employee records promptly, including personal details, job changes, absence, and leavers.
  • Run regular data audits to identify and correct discrepancies, supporting the team's commitment to data integrity.
  • Generate standard reports and data extracts as required by the People team, Payroll, and business stakeholders.
  • Support the continuous improvement of how the HR system is used, identifying opportunities to streamline processes or improve data quality.
  • Respond to employee and manager queries via the People inbox, providing accurate and friendly first-line support or signposting to the appropriate colleague.
  • Produce standard letters and correspondence across the employee lifecycle, including probation confirmations, leaver letters, and reference responses.
  • Maintain tidy, accurate, and GDPR-compliant personnel files.

What We’re Looking For:

  • Previous experience in an HR administration or people support role, ideally within a fast-paced or high-volume environment
  • Solid understanding of HR processes across the employee lifecycle, particularly onboarding, contracts, and data management.
  • Experience conducting right to work checks and a working knowledge of UK right to work legislation.
  • Hands-on experience using an HR information system
  • Exposure to a manufacturing, or similarly operational business is beneficial but not essential.
  • CIPD Level 3 qualified or working towards, or equivalent experience (desirable).
  • Excellent attention to detail - you take pride in getting things right first time.
  • Ability to work accurately at a fast pace
  • Well-organised and able to manage a high volume of tasks simultaneously without dropping the ball.
  • Discreet and trustworthy, with a clear understanding of the importance of confidentiality in HR.
  • A strong communicator - clear and professional in writing and confident on the phone or in person.
  • Proficient in Microsoft Office, particularly Word, Excel, and Outlook.
  • A team player who is happy to roll their sleeves up and support wherever needed.
  • Proactive and solutions-focused, with a genuine interest in HR as a career.
