Purpose of the Role:
To provide a professional, high quality and customer-focused People service to managers and employees across VervLife. The role is responsible for delivering efficient People administration, providing first-line HR advice and supporting the full employee lifecycle, ensuring all People processes are delivered accurately, compliantly and with an excellent customer experience.
You will work closely with managers to support recruitment, onboarding, induction, employee relations, absence management and HR administration, escalating complex matters to the People Manager where appropriate.
You will be responsible for providing high quality and efficient customer service to our employees, with the needs of our managers and employees always being paramount. The role involves providing a full People administration service as well as supporting the People Manager with people queries or providing first-line advice. You may be required to travel on occasion to various sites across the UK.
Directly Responsible For:
- To provide excellent, customer focused, people administration support
- Supporting our hiring managers through posting vacancies to our recruitment platform and full administration of the system.
- Supporting with People administration relating to the employment lifecycle.
- Preparation and issuing of contractual information. Completing DBS, RTW and reference checks via our online platform. Adding all new starters to appropriate platforms and systems
- Ensuring all data is up to date on our systems, such as annual leave and other absences to ensure correct payment to employees.
- Family Leave administration.
- Absence Management and assessing follow up flags before payroll cut off and contacting managers once triggers are met.
- Processing termination requests, including filing resignation letters, processing on relevant systems and issuing confirmation letters. Conducting further administration due to termination such as removal from IT systems
- Annual Leave queries.
- Act as our HR system support function for user queries or access problems, escalating as necessary.
- Upkeep of electronic files and trackers.
- Monitor and manage the People inbox responding to routine HR queries in a timely, accurate manner escalating complex issues where appropriate
- To take ownership of the whole people administration process and where possible use initiative and liaise with the People Manager to introduce new efficient ways of working or processes.
- To promptly and courteously deal with enquiries from customers, providing appropriate advice and information, through a variety of methods, including email, website, telephone and in person.
- To ensure the highest level of customer service is maintained at all times and act as a role model for excellent service delivery.
- To accurately calculate annual leave and other contractual entitlements.
- To follow set policies and procedures, using judgement as to when to escalate queries to the People Manager
- To ensure that all written documentation is accurate and contains the correct information and that the content is professional and suitable at all times.
- To process all received People forms as allocated ensuring that the appropriate levels of authorisation are obtained before actioning.
- Ensure that all databases and spreadsheets are maintained as required at all times.
- To carry out informal coaching with managers regarding the correct completion of People administration forms.
- Raise Purchase Orders and receipt orders in.
- To maintain confidentiality at all times and in all matters, adhering to GDPR and the General Data Protection Regulations at all times.
- To ensure that equality and diversity applies at all times within the role and to actively promote this within the role.
- Take accurate minutes during meetings including disciplinary and grievance hearings ensuring timely distribution.
- Prepare and collate relevant paperwork for People cases ensuring all documents are complete, correctly ordered and securely stored and distributed.
- To work closely with the People Manager at all times, ensuring that lines of communication remain open and that important information is relayed in a timely efficient manner.
- To comply with Health and Safety working practices at all times

In order for VervLife to work effectively, you may be required to assist with other areas of work and therefore, you should be prepared to undertake other duties appropriate to the post, as delegated by your line manager.

Desirable Skills & Experience:
- Previous experience working within a HR/People administration or advisory role.
- An advocate of customer care including experience of dealing with a range of customer queries/concerns in a professional manner.
- Experience of Microsoft Office software, computer systems and databases.
- Experience of accurately inputting to databases, maintaining manual/electronic records and the analysis and manipulation of data.
- The ability to present information in an accurate, professional and appropriate format.
- Excellent communication and interpersonal skills.
- Experience of prioritising workload to meet competing deadlines without close supervision.
- To be proactive in approach, with the ability to come up with ideas and resolve issues or problems quickly and effectively.
- Ability to work in a team and have a flexible approach to work.
- The ability to maintain strict confidentiality in relation to information and data.
- Awareness of employment legislation and pending changes.
- CIPD Level 3 (or working towards).
- Experience supporting recruitment and the employee lifecycle.
- Experience supporting employee relations processes.
- Excellent organisational skills with the ability to prioritise competing deadline
