People and Talent Coordinator
People and Talent Lead – Organisational Anchor & Empathetic Heartbeat
About the Role
You are the empathetic heartbeat and organisational anchor of the People and Talent team at Koto. Our people thrive when supported, and it’s your mission to build that supportive foundation—balancing deep discretion with proactive pace to turn complex HR processes into human, seamless experiences.
You’ll manage priorities and team communication, bridging the gap between administration and cultural care. From an employee’s first interview to their daily studio life, you ensure every person feels looked after.
Responsibilities
🔹 People Operations

Onboarding & Inductions
- Lead the onboarding journey, from Right to Work documentation and Welcome Decks to IT tech setups—making a new joiner’s first day feel like a celebration.
- Grow to take ownership of first-day HR inductions.

Benefits & HRIS Management
- Serve as the go-to guide for all benefits, including Juno (wellbeing), Third Space (fitness), and Cycle-to-Work schemes.
- Administer healthcare claims, keep HRIS (Humaans) and benefit platforms flawlessly updated.
- Ensure GDPR compliance in all records.

Employee Lifecycle Support
- Track probation periods, prompt manager milestone milestones, and prepare progression/extension paperwork (under Senior People Director’s guidance).
- Handle exits with care: coordinate IT off-boarding, equipment returns, and platform exits for departing staff.

- Financial & Legal Compliance
- Manage payroll paperwork (promotions, pay rises, joiners, leavers).
- Maintain digital personnel files, pension administration, and support annual salary reviews.
- Draft official documentation (contracts, HR changes, references, tenancy) with high attention to detail.
🔹 Talent Acquisition

Candidate Experience
- Be the welcoming, organised point of contact for external talent, coordinating interviews, prep materials, and last-minute scheduling.
- Work closely with EAs and internal teams for seamless recruitment processes.

Applicant Tracking System (ATS) Administration
- Own Teamtailor ATS tasks: upload/close roles, maintain candidate records, update job specs as benefits evolve.
- Ensure strict GDPR compliance.

Talent Growth & Initiatives
- Qualify candidates, assist with proactive headhunting, and contribute to creative talent/research initiatives.
- Assist with data reporting and embark on fresh Talent & People initiatives.
🔹 EMEA & Regional Growth
- Scale responsibilities to support Berlin contracts, benefits, and international operations once UK processes are mastered.
