About the Role
An opportunity has arisen for a People Assistant to join the People Team on a 2-year fixed term contract, playing a key role in delivering an efficient, high-quality People service and supporting colleagues across the full employee lifecycle.

- Location: Contractually based at Allianz Stadium, with flexibility to work from home
- Employment Type: 2-year Fixed Term Contract
- Working Hours: Full-time, 35 hours per week

The Role
The People Assistant provides efficient and effective support to the People team and RFU through:
- Supporting the end-to-end employee lifecycle.
- Delivering administrative support across People processes.
- Maintaining accurate employee data and records.
- Responding to routine People-related queries and escalating where appropriate.
- Contributing to continuous improvement of People administration and service delivery.
- Supporting the delivery of the RFU People Plan.
Specific Responsibilities
Employment Lifecycle
- Support People Advisors with recruitment administration, including:
- Posting vacancies
- Assisting hiring managers in recruitment systems
- Responding to candidate queries
- Coordinate onboarding activities (preparing contracts, offer documentation, and induction arrangements).
- Support new starter inductions and respond to routine queries.
- Administer pre-employment screening checks (e.g., right-to-work verification).
- Support the leaver process and associated administration.
- Maintain accurate employee records and electronic personnel files.
- Communicate new starter/learer information to relevant departments.
- Provide administrative support for employee relations cases (e.g., note-taking, documentation).
- Assist with recruitment activities (e.g., posting vacancies, arranging interviews, managing candidate records).
- Help engage casual workers via the internal recruitment system.
- Escalate complex queries/issues to the appropriate team member.

HRIS (Oracle & Associated Systems)
- Maintain accurate employee data within the Oracle HRIS platform.
- Run routine reports and support data requests from the People team.
- Collaborate with Payroll, Finance, and Technology teams for data accuracy.
- Assist with system testing and user acceptance testing.
- Support organisational and position updates within Oracle.
- Communicate system updates and process changes.
Operational Support
- Provide day-to-day administrative support across the People team.
- Act as a primary point of contact for People-related queries (via email, phone, or in-person).
- Support People projects and initiatives as required.
- Update organisational charts and People documentation.
- Prepare documentation for audits and compliance activities.
- Process DBS checks and maintain relevant records.
- Produce people metrics reports (e.g., starters/leavers).
- Assist with Reward administration and respond to associated queries.
Core Commitments as an RFU Employee
- Actively collaborate on business and operational plans.
- Serve as an ambassador for the RFU, promoting its culture and values (Put The Team First, Shape The Future, Respect Each Other).
- Accomplish duties as deemed necessary by the organisation and role.

Our People Team (13 members) includes service teams covering Operations, Internal Comms & Culture, Recruitment, Reward, and Payroll. Together, we aim to create a seamless journey for every RFU colleague, fostering high-performing teams across the organisation, including on and off the pitch.

Qualifications, Skills & Experience
Essential
- Previous administrative experience, preferably in HR, People, customer service, or office environments.
- Experience maintaining accurate records and working with databases/systems.
- Strong organisational and administrative skills with attention to detail.
- Ability to multitask and prioritise workloads effectively.
- Confident, professional communicator with excellent written and verbal skills.
- Customer-focused, approachable, and interpersonally adept.
- Discretion and comfort handling confidential and sensitive information.
- Basic familiarity with Microsoft Office (especially Excel, Word, Outlook).
- Willingness to learn HR processes, HR systems, and employment law.
- Commitment to RFU values (Put The Team First, Shape The Future, Respect Each Other).

Desirable
- Previous experience in HR teams or similar administrative roles.
- Familiarity with HRIS platforms (e.g., Oracle).
- Understanding of HR processes (e.g., the employee lifecycle).
- Interest in or studying towards CIPD qualifications.
