An opportunity has arisen for a People Assistant to join our People Team on a 2-year fixed term contract, playing a key role in delivering an efficient, high-quality People service and supporting colleagues across the full employee lifecycle.

Salary Banding: c. £30,000 per annum
Job Level: Core
Location: This role is contractually based at Allianz Stadium, offering some flexibility to work from home
Employment Type: 2-year Fixed Term Contract
Working Hours: This is a full-time role, covering 35hrs per week

The Role:

To provide an efficient and effective support service to the People team and the RFU through:

  • Supporting the end-to-end employee lifecycle.
  • Providing efficient administrative support across People processes.
  • Maintaining accurate employee data and records.
  • Responding to routine People-related queries and escalating where appropriate.
  • Contributing to continuous improvement of People administration and service delivery.
  • Supporting the delivery of the RFU People Plan.

The Team:

Our People Team of 13 spans Operations, Internal Comms & Culture, Recruitment, Reward, and Payroll. Together we are responsible for building a seamless and supportive journey for every RFU colleague, helping us create high-performing and winning teams both on and off the pitch!

Some key responsibilities include:

Employment Lifecycle:

  • Supporting People Advisors with end-to-end recruitment administration, including posting vacancies, assisting hiring managers to use the recruitment system effectively and supporting candidate queries.
  • Coordinating onboarding activities for new starters, including preparing contracts, offer documentation and induction arrangements.
  • Supporting new starters through their first-day People induction and responding to routine queries.
  • Administering pre-employment screening checks, including right-to-work verification.
  • Supporting the leaver process and associated administration.
  • Maintaining employee records and electronic personnel files, ensuring information is accurate and up to date.
  • Communicating new starter and leaver information to relevant departments.
  • Providing administrative support for employee relations cases, including note taking, document preparation and record keeping.
  • Supporting recruitment activity, including posting vacancies, arranging interviews and maintaining candidate records.
  • Assisting managers with the engagement of casual workers through the internal recruitment system.
  • Escalating complex queries and issues to the appropriate member of the People team.

HRIS:

  • Maintaining accurate employee data within Oracle and other People systems.
  • Running routine reports and supporting data requests from the People team.
  • Working closely with Payroll, Finance and Technology teams to ensure employee information is accurate.
  • Supporting system testing and user acceptance testing activities when required.
  • Assisting with organisational and position updates within Oracle.
  • Supporting communications relating to system updates and process changes.

Operational:

  • Providing day-to-day administrative support across the People team.
  • Acting as a first point of contact for routine People queries via email, phone and face-to-face interactions.
  • Supporting People projects and initiatives as required.
  • Updating organisational charts and People documentation.
  • Preparing documentation and data required for audits and compliance activities.
  • Processing DBS checks and maintaining records where required.
  • Producing regular reports on people metrics, including starters and leavers.
  • Supporting Reward administration and responding to routine Reward-related queries.

  • Actively collaborate with colleagues to contribute to the development and delivery of the current strategic, business and operational plans.

  • Undertake other duties as may be required from time to time as are consistent with the responsibilities of the post and the needs of the organisation.

Qualifications, Skills & Experience:

Essential:

  • Previous administrative experience, ideally within an HR, People, customer service or office environment.
  • Experience maintaining accurate records and working with databases or systems.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Ability to manage multiple tasks and prioritise workload effectively.
  • Confident communicator with strong written and verbal communication skills.
  • Professional, approachable and customer-focused manner.
  • Ability to build positive working relationships with colleagues at all levels.
  • Comfortable handling confidential and sensitive information with discretion.
  • Good working knowledge of Microsoft Office applications, particularly Excel, Word and Outlook.
  • Willingness to learn HR processes, systems and employment practices.
  • Commitment to the RFU values of Put The Team First, Shape The Future and Respect Each Other.
  • Commitment to contributing to an inclusive and positive workplace culture.

Desirable:

  • Experience working within an HR team or similar administrative role.
  • Familiarity with HR systems such as Oracle.
  • Basic understanding of HR processes and the employee lifecycle.
  • Working towards, or interested in studying, a CIPD qualification.
