Our Newcastle office is currently recruiting for a People Experience Assistant to support with transactional processes across the employment life cycle and to provide administrative support to the People & Culture function and the wider business where appropriate.
The Role
This role will be based in Newcastle and will report to the People Experience Supervisor also based in Newcastle. The role holder will be responsible for providing exceptional HR service delivery to employees across the London and Newcastle offices and wider business where appropriate, including the execution of all operational HR activities and query resolution. The role holder will work collaboratively with the wider HR team to ensure the delivery of a high-level, accurate service and will ensure the timely delivery of administrative tasks.
Key Responsibilities
- Execution of all operational HR activities and query resolutions with a customer-centric mindset.
- Working as part of a team to deliver high-class customer service to all employees and clients via various channels including online case management and telephone.
- Act as the first point of contact for all HR queries, offering basic advice, guidance, and troubleshooting on policies, processes, and HR technology.
- Maintaining employee files, ensuring employee data is up-to-date and accurate in Workday, producing letters, and employee correspondence.
- Providing support to the People & Culture team on administrative tasks. Liaising with internal and external clients when needed.
- Collaborate with our systems team to deliver data audits and quality checks to ensure the integrity of HR data is maintained at an exceptional level.
- Build a strong working knowledge of enabling technology, systems, and processes to drive system adoption and offer an efficient and high-quality service.
- Identify service issues, proactively proposing improvements, and supporting the implementation of changes.
- Ad-hoc project work and involvement.

Operational delivery of key people processes across the employment life cycle including joiners, movers, parental leave, absence, and leavers:
- Accurately preparing and sending all contract paperwork in a timely fashion and filing returned paperwork to the employee's file.
- Ensure all necessary documentation has been received from employees.
- Setting up new joiners on our HR system, preparing weekly induction, and working with wider teams (payroll, facilities, IT) to ensure a positive onboarding and induction experience.
- Administration of all employee changes to ensure our people data is accurate.
- Ensuring all right-to-work information and employee details are compliant with policy and UK Visa & Immigration Services requirements.
- Requesting background checks for all new joiners via our external background checks provider. Following up with new joiners on completion of the background checks form and verifying necessary supporting documents.
- Manage planned and unplanned absence and monitor return dates.
- Support the delivery of cyclical processes across the People & Culture function.

Skills And Experience Required
- Exceptional customer service skills with a people-centric mindset.
- Excellent communication skills both written and verbal at all stakeholder levels.
- Must present a professional, friendly, and client-focused attitude and approach at all times.
- Confident and flexible approach to taking on new tasks and projects.
- Ability to problem-solve while maintaining a positive employee experience.
- Administrative experience with strong organization skills and an ability to effectively prioritize tasks and manage time effectively.
- Enthusiastic and ability to work as part of a team.
- Ability to work in a fast-paced environment with demanding internal clients.
- Strong IT skills (Excel, Word, Outlook). Accuracy and strong attention to detail.
- Experience of working in an office environment is ideal but not essential, however, we are looking for someone who has an interest in HR and is keen to learn more and develop within the team.
- Flexible in relation to hours, prepared to work late where business requirements dictate.
- Ideally experience using Workday.
