Job Summary
We are seeking a People & Learning Administrator to join our People Team, supporting the employee experience through People Operations and Learning & Development. This role ensures seamless processes, programmes, and initiatives necessary for colleague growth and business success.
Key responsibilities encompass cross-functional administration—no two days are the same! Ideal for a graduate seeking a career in HR or an experienced applicant eager to broaden their skills and contribute to high-performing teams.
Core Administrative Responsibilities
General (People & L&D)
- Serve as the first point of contact for querying both People and Learning & Development, providing customer-first support and escalating concerns as needed.
- Deliver consistent administrative support for employees and stakeholders globally, ensuring compliance and internal policy adherence.
- Maintain accurate records and JML (Joiner, Mover, Leaver) trackers, as well as supporting documentation.
- Support People and L&D systems, platforms, and SharePoint/Teams pages, ensuring real-time updates.
- Produce routine reports and trackers to support operational and HR initiatives.
- Contribute to People Team projects, identifying process improvements and proposing optimisations.
- Collaborate with People, Finance, IT, and external suppliers in a team-oriented environment.

People Operations Administration
- Assist in the employee lifecycle, including:
- Contractual administration (e.g., changes, parental leave, flexible working).
- Leaver documentation, terminations, and final paperwork.
- Streamline onboarding processes, coordinating:
- Right-to-work checks, references, DBS checks, inductions, and probation reviews.
- Update people systems for new starters, leavers, and contractual changes.
- Respond to external reference requests (e.g., for mortgages, visas, ex-employee verifications).
- Support benefits administration (enrolments, changes, and employee queries).
- Maintain and clarify employment policies and procedures.
Learning & Development Administration
- Manage the L&D calendar and support training programme coordination across the business.
- Coordinator logistics for **training sessions, workshops, and Lunch & Learn events (attendees, facilitators, timings).
- Handle vendor administration for L&D suppliers, liaising with Finance for:
- Supplier onboarding, invoicing, and tracking spend.
- Administer training agreements and maintain records of course attendance and expenses.
- Support the Learning Management System (LMS):
- Manage enrolments and access.
- Update course content and performance conversation documentation.

Qualifications & Experience
Skills & Experience
- Strong administrative skills with proficiency in:
- Microsoft Word, Excel, and PowerPoint.
- Experience using HR and/or Learning Management-related systems (desirable).
- Experience with benefits administration (highly beneficial).
- High attention to detail and accuracy in data handling.
- Exceptional time management to prioritise tasks effectively.
- Professional, discreet, and confident in handling confidential information.
- Methodical and structured approach, with an eye for improving process efficiency.
- Proactive, adaptive, and service-oriented mindset.
- Strong communication and interpersonal skills for stakeholder engagement.
- Collaborative team player with adaptability in fast-paced environments.
