What we're looking for
We are looking for a proactive and highly organised Personal Assistant to provide dedicated support to senior leaders within our Howden Markets division.
This role will involve a broad range of PA responsibilities including diary management, travel coordination, expenses, and meeting arrangements. The successful candidate may also support wider team administration where capacity allows and provide occasional support to the Executive Assistant of the Group Head of Howden Markets.
Please note that this is a full-time, 12 month fixed term contract role based in our Central London office. You are expected to be onsite 4 days per week on average.
What you'll be doing
- Managing diaries for the Howden Markets Leadership team, ensuring efficient scheduling and prioritisation.
- Coordinating internal and external meetings, including room bookings and refreshments.
- Organising local and international travel, including visa arrangements and itineraries where applicable.
- Arranging team training sessions as required, including working with providers to find a suitable date, booking meeting rooms, tracking numbers etc.
- Onboarding new joiners - liaising with IT, HR etc. to ensure everything runs smoothly.
- Helping to update the Key Moments Tracker, PMO calendar and distribute to the team on a weekly basis.
- Maintaining accurate records and documentation using company systems and ensuring the Admin folder is kept up-to-date.
- Liaising with internal support teams (e.g. Facilities, IT, Reception, AV) to ensure smooth operations.
- Processing expenses and invoices accurately and in a timely manner.
- Assisting with team events and corporate hospitality, ensuring all logistics are handled effectively.
- Arranging cards / presents for team birthdays and milestones.
- Helping with document handling tasks such as printing, scanning, binding etc.
- Working closely with the other administrative staff members to ensure seamless cover during peak periods and absences.
- Handling sensitive information with discretion and maintaining confidentiality at all times.

What qualifications we're looking for

- Proven experience as a PA or Team Assistant, ideally within a corporate or financial services environment.
- Excellent attention to detail and ability to produce accurate, well-formatted documentation.
- Strong organisational skills and the ability to manage multiple tasks simultaneously.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience in the insurance sector is advantageous but not essential.
