Job Description: Personal Assistant

EQUANS is looking for a Personal Assistant to join our team based in Central London on a permanent full-time basis working 40 hours per week from 09:00 to 17:30, Monday to Friday with a 30-minute unpaid break. On offer is hybrid working - 3 days London office-based with some nationwide travel depending on business needs and a competitive salary and benefits package.

About the Role

The individual will play a vital role to EQUANS as the overall support administration for the Senior Leadership Team (SLT), ensuring the smooth operation of a large national account.

Key Responsibilities

  • Maintain efficient office administration processes to ensure a smooth and efficient service is delivered to the Managing Director and team members
  • Organise and produce complex (confidential) papers and reports for the Director and team
  • Undertake multi-diary management and plan schedules in diaries to optimise the working day of allocated team members
  • Screen incoming mail, telephone calls, emails, and messages and manage responses directly on behalf of the executive team, as necessary
  • Prepare documents and presentations as required
  • Arrange and attend meetings/conferences as required, record actions, and ensure appropriate facilities are organised
  • Prepare agendas and reports for meetings and support the Director by chasing activity, reports, and outcomes from meetings
  • Co-ordinate, and where needed, book travel and accommodation for the team

Who We Are Looking For

  • Driven individual who can work proactively to resolve issues and support a wide range of needs
  • Prior experience in a similar role essential
  • Highly organised and able to manage multiple activities at any one time
  • Rounded educational background with direct experience in financial and operational administration
  • Experience in both finance and workflow administration desirable
  • Excellent IT skills with Microsoft applications, SAP & other in-house IT Management systems
  • Excellent communication and customer service skills
  • Demonstrate good time management skills, working to deadlines and adhering to set procedures
  • Needs to be highly motivated, organised, versatile, and adaptive
  • Must have a full, valid UK driving licence
