What's the job?
To provide professional, confidential and proactive support to the functional Board member and their direct leadership team, creating the space, structure and organisation that allows leaders to focus on strategy and people. The role uses sound judgement, discretion and initiative to prioritise competing demands, remove friction for leaders and colleagues, and keep day-to-day activity running smoothly across hybrid and office-based working environments.
- Diary and email management: Proactively manage multiple diaries; using judgement and initiative to prioritise, escalate and protect time
- Meeting organisation and governance: Co-ordinate and govern effective functional leadership meetings and events, with internal and external stakeholders. Ensure facilities/venues are booked, content is collated, meeting hygiene adhered to and notes taken.
- Manage travel arrangements: such as hotels, flights, cars and trains, ensuring the most efficient mode of transport and timings are selected within budget
- Dealing with routine administration, post and enquiries via email and telephone: filtering where necessary and dealing with enquiries
- Provide SAP HR functional administration: including maintaining absence, holidays etc
- Process invoices and expense claims
- Assist Board member and direct leadership team with creating new starter induction schedules: ensuring user system is set up and they have equipment ready on their first day
- Assist other Functional PA's to cover for holidays and sickness
- Be a point of contact for team members
- Any other duties as reasonable required

What We Need
- Proven experience of co-ordinating and supporting other colleagues in a busy, fast-moving environment
- Confidence to prioritise, challenge and protect leadership time appropriately
- Excellent written and verbal communication skills, able to draft simple, clear and engaging messages for different audiences and channels
- High level of organisation, planning and follow-through, with the ability to manage multiple priorities, deadlines and stakeholders simultaneously
- Excellent attention to detail
- Proactive approach to problem solving, continuous improvement and driven to meet deadlines
- Ability to maintain focus and attention to detail when under pressure
- The ability to work remotely whilst maintaining strong communication with all stakeholders
- Ability to challenge confidently and respectfully
- Able to act professionally and with discretion, maintaining confidentiality
- Confident working knowledge of Outlook, Teams, PowerPoint, Word, and Excel or similar
- Competent digital capability to include knowledge working on Teams and other external platforms – setting up meetings, and maintaining files etc.
- Willing to travel to other sites when needed.
