Position: PA/Team Assistant

Location: Reading

Vacancy Type: Permanent 4 days a week Monday-Thursday

Inizio Engage is currently recruiting for a Team Assistant and Administrator for our client. Our client is a global organisation who are driven to provide healthcare solutions to patients around the world.

We are looking for a highly organised, versatile individual with previous administration experience. The ideal candidate will be very organised and proactive with a track record working in administration/customer service.

This is a great opportunity to be part of a successful team where you will interact with various stakeholders and be involved with a variety of tasks.

Key Responsibilities:

  • Provides administrative support to Sanofi senior leaders
  • Calendar/Diary management
  • Travel management - transport, drivers, overseas travel, accommodation, etc
  • Assist with organising company events for Directors & clients, e.g. industry events, acting as a point of contact for attendees, arranging hotel requirements and equipment, catering requirements and overseeing coordination of everything on the day
  • Manage monthly credit card statements and cash expenses
  • Manage meeting room bookings
  • Works closely with the team to ensure commitments are met and prepared for e.g. Business Review meetings, Budget meetings, Team meetings etc.
  • Letter & email production
  • Communications assistance - creating, editing, sending internal communications
  • Arranging appointments - internal & external
  • Attend Management Team meetings to record minutes and follow up on actions
  • Manage invoice payments for external suppliers when related to General Management costs
  • As required flexibility may be needed to cover:
    • Responding to incoming calls, emails and facsimile from customers
    • Advise customers on allocation and seek approval in accordance with the escalation procedure on orders that exceed allocation
    • Handle queries and complaints, provide solutions and follow up to ensure resolution in a timely basis in line with guidelines
    • When required to do so, contact existing and/or potential customers and/or stakeholders to share communications
    • Act as a source of information regarding Market intelligence gained through Customer feedback, proactively raise opportunities and risks with internal stakeholders

  • PA Experience (essential)
  • Experience in Customer Service environment (desirable)
  • GCSE / O'Level Mathematics and English required (Grade C or above)
  • Working knowledge of Microsoft Office systems
  • Confidentiality of sensitive information during SLT meetings
