Part-Time Executive Assistant & Office Manager

London | Office-Based | Part-Time

We are seeking a Part-Time Executive Assistant & Office Manager to join this fast growth AI business, to become the backbone of a busy London office, ensuring everything runs seamlessly while providing dedicated support to two senior executives. This is a fantastic opportunity for someone who enjoys balancing operational responsibilities with high-level executive support in a dynamic and collaborative environment.

The Role

This is a broad and varied position, combining office management, event coordination, and executive support. You will be responsible for creating an exceptional office experience for employees and visitors while managing a range of EA duties for senior leadership.

Office Management

  • Oversee the day-to-day running of the London office.
  • Manage relationships with vendors, suppliers, and service providers.
  • Liaise with building management regarding facilities and office requirements.
  • Coordinate meeting room bookings, set-up, and hospitality arrangements.
  • Organise office events, team socials, and company gatherings.
  • Plan and coordinate team offsites, including venue sourcing and logistics.
  • Support the planning and execution of a forthcoming office move.
  • Ensure the office environment is well-maintained, organised, and fully operational.

Executive Assistant Support

  • Provide dedicated support to the VP of Sales and Head of AI Strategy.
  • Manage complex and ever-changing diaries across multiple time zones.
  • Coordinate global travel arrangements, including flights, accommodation, and itineraries.
  • Manage and prioritise inboxes, ensuring timely responses and follow-up actions.
  • Prepare meeting agendas, presentations, and supporting documentation.
  • Attend and minute weekly leadership meetings, tracking actions and deadlines.
  • Coordinate meetings with internal and external stakeholders.
  • Act as a key point of contact between the London, San Francisco, and New York offices.

About You

  • Previous experience as an Executive Assistant, Office Manager, Team Assistant, or similar support professional.
  • Strong experience managing busy diaries and international travel.
  • Exceptional organisational skills with excellent attention to detail.
  • Confident working with senior stakeholders.
  • A proactive, solutions-focused approach and the ability to anticipate needs.
  • Excellent written and verbal communication skills.
  • Comfortable working in a fast-paced, high-growth environment.
  • Strong Microsoft Office and/or Google Workspace skills.
