Executive & Personal Assistant (Part-Time)

West London | In Person | Approximately 5 hours per week

I’m looking for an exceptional Executive & Personal Assistant to provide administrative, organisational and operational support across a variety of personal and professional projects.

This is a varied role where no two weeks are the same. I’m looking for someone who genuinely enjoys creating order, solving problems and helping projects move forward. The successful candidate will be proactive, highly organised and able to take ownership of tasks with minimal supervision.

Responsibilities

  • Managing calendars, appointments and deadlines.
  • Organising emails, correspondence and important documents.
  • Assisting with university applications and academic administration.
  • Basic bookkeeping, expense tracking and invoice organisation.
  • Booking travel, meetings and appointments.
  • Coordinating podcast administration and liaising with video editors and other freelancers.
  • Conducting online research and gathering information.
  • Preparing documents, presentations and spreadsheets when required.
  • Following up on outstanding tasks and ensuring projects continue to move forward.
  • Creating efficient organisational systems and maintaining accurate digital records.
  • Providing general administrative support across a range of projects.

About You

You are:

  • Exceptionally organised with excellent attention to detail.
  • Reliable, trustworthy and discreet.
  • A confident communicator with excellent written and spoken English.
  • Comfortable managing multiple priorities in a fast-moving environment.
  • Proactive and able to identify what needs doing without waiting to be asked.
  • Calm under pressure with strong problem-solving skills.
  • Proficient with Microsoft Office, Google Workspace and AI tools such as ChatGPT.
  • Happy working in a home office environment with a child and a friendly dog.

The Role

This is an in-person position based in West London. The role involves working closely together, so remote working is not suitable.

The position will begin at approximately 5 hours per week, with flexibility around when those hours are worked. There is potential for additional hours over time as the role develops.

This position would suit someone who enjoys variety, takes pride in being highly organised, and finds satisfaction in helping ambitious projects run smoothly.
