Job Summary
The Personal Assistant role provides high-quality administrative and coordination support to Shoaib Yaqub, Global Head of CSRA, Ralf Schinkothe, Head of Corporate Credit Analyst Team and Nicolas Decaillet Global Head Strategic & Technical Advisory, Oil & Gas and with additional ad hoc support to their teams.
This role supports the smooth day-to-day running of senior leaders and their teams through proactive diary management, meeting coordination, travel and expense administration, stakeholder follow-up, records discipline and timely completion of operational requests.
Key Responsibilities
Provide executive administrative support
- Manage and prioritise diaries/calendars for both MDs, including sensitive and time-critical matters; coordinate internal meetings and external client meetings; arrange meeting logistics including room bookings and act as a reliable point of contact for internal and external parties relating to both teams.
Manage travel, expenses and approvals
- Arrange travel, hotel bookings and itineraries for client meetings and business commitments.
- Coordinate lunch and dinner reservations and obtain gifts and entertainment approvals where required.
- Process business expenses for the three MDs and act as delegate to check direct report expenses against travel policy.
Monitor Travel Budget And Policy Requirements
- Monitor travel budget usage and policy requirements, ensuring T&E policy is adhered to and that approvals are obtained and recorded appropriately.
Coordinate operational requests and follow-up
- Undertake general administrative activities including telephone calls, Request Management System (RMS) requests, annual leave requests and e-procurement requests.
- Approve delegated expense and HR/IT requests on behalf of line managers after verifying the relevant information.
Maintain records and action tracking
- Maintain comprehensive and accurate records, collate information, update managers where required, issue daily reminders, and follow up on actions that arise.
Embed values and conduct expectations

Measure of Success
- Senior leader effectiveness: diaries, travel, expenses and approvals are managed proactively, accurately and in line with required timings and policy expectations.
- Stakeholder experience: internal and external stakeholders receive timely, professional and well-coordinated support for meetings, logistics and follow-up activities.
- Operational discipline: records, requests, actions and approvals are tracked accurately and followed through to completion.
- Policy adherence: travel, expenses, gifts and entertainment, HR/IT and procurement activity is checked and processed in line with relevant policies and delegated authority.

Key Experiences
- Experience supporting senior leaders and managing complex diaries across internal and external stakeholder groups.
- Experience coordinating client meetings, travel, itineraries, expenses, approvals and room/logistics arrangements.
- Strong working knowledge of administrative processes, record keeping, requests management and policy adherence.
