Personal Assistant to the CEO & Founder / Office Manager

Location: Office-based, Soho, London (W1F)

Salary: £35,000–£45,000 per annum (DOE)

Hours: Monday to Friday, 8:15am–5:30pm

Our client is a growing and established business that takes pride in the working environments it creates and the strong relationships it develops with its clients.

They are now looking for an organised and proactive Personal Assistant & Office Manager to provide trusted support to the CEO & Founder while overseeing the smooth running of the company’s offices.

About the Role

This is a varied position combining executive and personal support, office management and business administration. It requires someone resourceful, discreet and highly organised, with the confidence to manage changing priorities and take ownership of a broad range of responsibilities.

The successful candidate will work closely with the CEO & Founder, ensuring business and personal commitments are managed efficiently while maintaining professional, organised and welcoming office environments.

Key Responsibilities

Personal Assistant Support

  • Managing the CEO & Founder’s busy and frequently changing diary, ensuring appointments, meetings and priorities are coordinated effectively.
  • Coordinating domestic and international travel, including transport, accommodation and detailed itineraries.
  • Responding to urgent or time-sensitive matters outside regular working hours when required.
  • Managing personal administration, appointments, lifestyle arrangements and property-related matters with discretion and attention to detail.
  • Liaising with suppliers, service providers, professional advisers and personal contacts on behalf of the CEO.
  • Preparing presentations, reports, correspondence and other documentation.
  • Handling confidential and sensitive information with professionalism, discretion and sound judgement.
  • Anticipating requirements and managing competing priorities to make the best use of the CEO’s time.

Office Management

  • Overseeing the day-to-day running of the primary office and maintaining a professional, organised and welcoming working environment.
  • Acting as the first point of contact for visitors, guests and external contacts.
  • Ensuring an additional company office remains organised, well maintained and fully operational.
  • Managing office facilities, supplies, equipment and relationships with suppliers and service providers.
  • Coordinating maintenance, repairs and workplace health and safety requirements.
  • Organising company meetings, events, hospitality and internal activities.
  • Supporting employee onboarding and general office administration.
  • Maintaining office systems, records and operational processes.
  • Reviewing procedures and identifying opportunities to improve efficiency and the overall workplace experience.
  • Providing administrative support to other senior stakeholders when required.

Skills & Experience

Essential

  • Previous experience as a Personal Assistant, Executive Assistant, Office Manager or within a comparable support position.
  • Excellent organisational and time-management abilities.
  • Strong written and verbal communication.
  • The ability to manage several priorities while working accurately under pressure.
  • Excellent attention to detail and a practical approach to resolving problems.
  • Proficiency in Microsoft Office.
  • The ability to maintain confidentiality and exercise sound judgement.
  • A proactive, flexible and hands-on approach.
