Personal Assistant & Office Manager (15 Month Fixed Term Contract)

Location: Newcastle Working Pattern: Hybrid (80% office presence, minimum 4 days per week) Hours: Full-time Salary Range: £35,000 - £42,000 Contract Length: 15 Months

Role Description

This proactive Personal Assistant & Office Manager role provides high-level support across the Newcastle and Scotland teams (office-based). The role ensures operational efficiency, delivers deal activity support, maintains compliance, and fosters strong internal and external engagement. You’ll work closely with senior Investment Executives and the wider PA network.


Key Responsibilities

Executive Deal Support & Diary Management

  • Manage diaries for senior Investment Executives across Newcastle and Scotland, including:
    • Preparing weekly/monthly itineraries and briefing packs.
    • Prioritising tasks based on urgency and importance.
    • Coordinating calls, meetings, and stamping/binding materials.
    • Supporting investment materials, internal reporting, and compliance-aligned communications.
  • Provide ad-hoc deal support and adapt to team priorities during busy periods.

Travel & Logistics

  • End-to-end travel coordination for frequent UK meetings (London, Scotland, and other locations):
    • Booking travel, hotels, restaurants.
    • Guest trip logistics and itinerary planning.
    • Monitoring costs and ensuring budget alignment.

Events & Business Development Support

  • Partner with regional target engagement efforts:
    • Ownership of the Scotland & Newcastle events programme (including dinners, conferences, charity events, and corporate hospitality).
    • Venue sourcing and supplier relationship management.
    • Building and managing guest and contact databases.
    • Ensiting events align with origination and deal flow priorities.

Office Management & Operations

  • Dual role as Office Manager for Newcastle and Scotland, covering:
    • Reception/main front-of-house activities.
    • Suppliers and procurement to maintain office resources.
    • New hires’ onboarding and team morale support.

GEH (Gifts, Entertainment & Hospitality) & Compliance

  • Overseeing all GEH policies for the team:
    • Tracking, approvals, and record-keeping.
    • Ensuring adherence to compliance and policy eraselines.
    • Managing training submissions for GEH compliance and HR requirements.

Expenses, Invoices & Budget Tracking

  • Processing expenses and supplier invoices with timely approvals.
  • Tracking regional budgets (including marketing/event budgets).

Systems, CRM & Data Management

  • Data integrity in CRM tools and portfolio contact databases:
    • Supporting team organisation by maintaining regional pipelines.
    • Coaching on best practices for technology use.

Stakeholder & Relationship Management

  • Key point of contact for:
    • Advisors, vendors, portfolio company representatives, and media.
    • Representative duties to internal and external audiences.

Key Skills & Experience

  • Organisational and prioritisation skills to handle complex workflows.
  • Advanced Microsoft Office proficiency (Excel, Outlook, Teams).
  • Attention to detail in supporting financial services compliance.
  • Ability to work independently with highly confidential information.
  • Flexible approach to multitasking (including team coverage).
