Personal Assistant (PA) – Senior Management, Older People & Stroke Service (North Sector)

This is an exciting opportunity to join our Senior Management Team within the Older People & Stroke Service, based at the Glasgow Royal Infirmary. You will play a pivotal role in ensuring seamless operations, delivering high-quality administrative and personal support to senior leaders—Clinical Service Manager, General Manager, and above.

The Role
Location & Working Pattern
- Base Location: Glasgow Royal Infirmary
- Contract: Full-time, permanent role with a standard 5-day working week
- Shift Hours: 8:30 AM to 5:00 PM, Monday to Friday Exact hours and session timing will be discussed and agreed upon with the successful candidate.
Key Responsibilities
As the Personal Assistant (PA), your role is critical to the smooth running of our management office:

Senior Administrative Support:
- Provide comprehensive, confidential administrative and executive support to the Senior Management Team, including the Clinical Service Manager and General Manager
- Ensure diaries are meticulously managed, emails are filtered and coordinated, and meetings are prioritised effectively
- Balance competing demands with strong organisation, prioritisation, and time management skills

Key Stakeholder Liaison:
- Act as the primary point of contact for both internal and external stakeholders
- Ensure effective communication and timely responses to all enquiries

Documentation & Reporting:
- Prepare, collate, and format reports, correspondence, statistics, and documentation to a high professional standard
- Maintain and update departmental records including eESS, SSTS, databases, and filing systems

Meeting & Process Support:
- Attend meetings, take accurate and comprehensive minutes, and distribute actions/deliverables promptly
- Support departmental processes, such as recruitment administration, equipment ordering, project coordination, and compliance with governance standards

Cover & Rota Management:
- Provide cover for colleagues
- Assist with managing the Resident Doctor Staff Rotas
Requirements
Knowledge, Skills & Experience
Candidates should demonstrate the following core competencies and experience:

Qualifications/Experience:
- HNC/SVQ III in Secretarial Studies or Business Administration or equivalent industry experience
- Proven experience in a Personal Assistant, Executive Assistant, or senior administrative role, preferably within a healthcare setting

Technical Proficiency:
- Advanced IT skills, particularly with Microsoft Office 365
- Experience using administrative systems such as eESS (Employer Entitlement and Salary Sharing System) and SSTS (Staff Serenity Ticketing System)
- Strong diary management skills

Soft Skills:
- Exceptional organisation, communication, and problem-solving skills to thrive in a high-pressure environment
- Proven ability to multitask and prioritise a demanding workload
- Strong interpersonal skills, demonstrating collaboration and independence
- High attention to detail, reliability in minute-taking and report preparation
- Ability to handle sensitive information with the utmost discretion, professionalism, and diplomacy
