Personal Assistant / Group Administrator
Location: Muswell Hill, North London (office based, some flexibility)
Salary: £35,000 to £45,000 depending on experience
Hours: Full time, Monday to Friday
Reports to: Group Director
About Us
We are a growing family-owned group of businesses based in North London, spanning commercial heating and mechanical services (Virtual Heating) and premium bathroom and kitchen design (North Arch Bathrooms & Kitchens). We are ambitious, fast moving, and building something bigger, with further acquisitions and new divisions planned.
We are now looking for an organised, proactive Personal Assistant / Group Administrator to support the Director and keep the engine room of both businesses running smoothly.
The Role
This is a varied, hands-on role. No two days will be the same. You will take ownership of the day-to-day administration across the group, freeing the Director to focus on growth, projects, and people.
Virtual Heating (Commercial M&E Contractor)
- Raising and issuing invoices and variation orders
- Preparing project reports and financial summaries
- Managing insurances, certificates, and compliance renewals
- Sub-contractor administration, including PQQ forms and onboarding
- Method statement and RAMS filing
- Fleet admin: vehicle checks, MOTs, servicing, parking charges
- Uniform ordering and stock
- Paying supplier accounts (Amex, merchant accounts) and managing statements
- Managing Amex Avios points and booking flights

North Arch Bathrooms & Kitchens (Design Showroom)
- Staff holiday tracking and employee contract admin
- Supplier accounts, trade discounts, and rep meeting scheduling
- Customer appointment reminders and CRM updates
- Remedials coordination and follow-up
- Office and showroom purchasing
Group and Director Support
- Diary and calendar management for the Director
- Xero bookkeeping support and expense reconciliation prep
- Payments, account forms, and banking admin
- Recruitment admin: posting roles, arranging interviews, onboarding paperwork
- Organising digital folders and keeping group systems tidy
- Meeting minutes and action tracking
- Personal support for the Director: travel bookings, logistics, household admin

About You
- Proven experience as a PA, Office Manager, or Administrator (construction, trades, or retail background a bonus)
- Highly organised with excellent attention to detail
- Confident with Xero or similar accounting software
- Strong working knowledge of Microsoft Office and comfortable learning new systems (we use CRM and AI tools daily)
- Discreet and trustworthy, comfortable handling confidential information
- A self-starter who spots what needs doing before being asked
- A good sense of humour, we work hard but we like to enjoy it
- Comfortable juggling multiple businesses and switching contexts quickly
