About the Role

The Personal Assistant to the Managing Director is a full-time hybrid role based in Ascot, with flexibility for work-from-home where possible. This position offers comprehensive administrative and personal support to the Managing Director, covering:

  • Diary and schedule management, including organizing meetings, appointments, and travel logistics
  • Correspondence handling, call screening, and ensuring timely communication
  • Meeting preparation, including document preparation and follow-up coordination
  • Travel and accommodation arrangement, ensuring seamless logistics for engagements
  • Confidential record-keeping and deadline tracking for key projects
  • Project support, including follow-ups and administrative coordination
  • Liaison with internal/external stakeholders, facilitating smooth workflows

The role provides proactive personal support, allowing the Managing Director to focus on strategic objectives while relying on detailed, professional administration.

Key Responsibilities

  • Manage the daily diaries of the Managing Director, resolving scheduling conflicts efficiently
  • Organize and prepare for board meetings, client presentations, and other high-priority engagements
  • Handle professional correspondence, emails, and internal/external communication with discretion
  • Screen and direct calls and incoming messages, ensuring privacy and efficiency
  • Arrange and coordinate domestic and international travel, accommodations, and logistics
  • Maintain confidential documents and records relating to sensitive projects and communications
  • Monitor and track key deadlines, ensuring the Managing Director is promptly informed
  • Support project-related tasks, including document preparation, confidential follow-ups, and administrative coordination
  • Liaise with internal teams (e.g., design, architecture, consultancy) and external stakeholders to enhance workflow

Requirements

Essential Skills & Experience

  • Strong Executive Assistant skills, including high-level administrative task management and prioritization under pressure
  • Proactive Personal Assistance experience, with a focus on confidentiality and discretion
  • Advanced Diary Management skills for coordinating meetings, appointments, and deadlines
  • Exceptional Communication skills (written & verbal) for professional interactions with stakeholders
  • Experience arranging Travel & Accommodation, including itinerary planning and logistics
  • Proficiency in office software (e.g., Microsoft Outlook, calendar systems, document tools)
  • Highly organized, with attention to detail
  • Ability to work effectively in a hybrid workplace model

Desirable Qualifications & Experience

  • Relevant qualifications (e.g., diploma/degree in business administration, office management, or related fields)
  • Previous experience in supporting senior leadership within design, architecture, project management, or consultancy environments
  • Familiarity with built environment industry processes (an advantage)
