Personal Assistant
The Role
We are looking for an exceptional Personal Assistant who can act in a dual-function role: part high-level executive support, part trusted personal aide. You will be our CBO's right hand both in execution and in life.
This role requires someone who is proactive, discreet, unflappable, and deeply organised. You will manage a complex, ever-shifting schedule, from brand campaign reviews and press days to school runs and personal appointments. No two days will look the same.
What You Will Do
Executive & Diary Management
- Own and manage the CBO's calendar end-to-end, including internal meetings, brand partner calls, agency briefings, retail appointments, and industry events
- Anticipate scheduling conflicts and resolve proactively, always keeping the CBO one step ahead
- Prepare briefing notes, agendas, and background materials ahead of all meetings
- Coordinate travel flights, hotels, ground transport, and itineraries for both business and personal trips
- Manage correspondence on behalf of the CBO, drafting emails and communications with appropriate tone and discretion
- Liaise with internal stakeholders across brand, marketing and creative, as well as external partners including agencies, PRs, and retailers
- Take and distribute meeting notes and follow up on actions
Personal Support
- Manage school drop-off and/or pick-up logistics, coordinating with school where needed
- Organise and maintain children's schedules including extracurricular activities, matches, concerts, and school events, acting as the primary point of coordination
- Plan and organise children's parties, playdates, and social commitments end-to-end
- Attend school runs, activities, and events when required, stepping in as a trusted and familiar presence for the children
- Organise personal appointments (medical, beauty, household, family)
- Assist with personal errands, gift sourcing, event RSVPs, and household management tasks
- Handle personal travel and family holiday planning
- Support with ad hoc lifestyle tasks as required, always with discretion and care

Requirements
What We Are Looking For
- Proven experience as a Personal Assistant, EA, ideally supporting a C-suite or senior creative executive for at least 5 years
- Experience in a fast-paced environment, ideally within beauty, fashion, media, or consumer brands
- Confidence and warmth around children, you will build your own trusted relationship with the family, and the children in particular, as you will regularly be present at school runs, activities, and events on the CBO's behalf
- Exceptional organisational skills with sharp attention to detail
- Strong written and verbal communication skills
- Absolute discretion and confidentiality, this role involves access to sensitive professional and personal information
- A proactive, can-do mindset: you anticipate needs before they arise
- Calm under pressure and able to juggle multiple priorities simultaneously
- Comfortable with flexible working hours when required (the occasional early morning or evening will be part of the job)
- Proficiency in Google Workspace (Gmail, Calendar, Docs) and/or Microsoft Office
Nice to Have:
- Experience supporting a senior executive with personal/family logistics
- Familiarity with the beauty, retail, or lifestyle industry
- Knowledge of London (and potentially European) geography for travel planning
- Experience using project management tools (Canva, Asana, etc.)
