Job Purpose
We are looking for a highly organized, proactive, and professional Personal Assistant to provide comprehensive administrative and organizational support to senior Executives. This is a fast-paced role where you'll be responsible for managing complex schedules, coordinating travel, preparing meetings, and acting as a trusted point of contact for key stakeholders. You'll play a vital role in ensuring the Executives are supported efficiently, enabling them to focus on strategic priorities while maintaining the highest levels of confidentiality and professionalism.

Responsibilities
- Provide high-level administrative and organizational support to senior Executives, ensuring they are fully supported in their day-to-day activities.
- Manage complex diaries and schedules across multiple time zones, adapting to changing priorities.
- Coordinate meetings, prepare agendas and briefing materials, and ensure Executives are fully prepared.
- Monitor meeting schedules and timekeeping to ensure diaries run efficiently.
- Act as the key liaison between Executives, their direct reports, and wider business stakeholders.
- Arrange complex domestic and international travel, including flights, accommodation, ground transport, and detailed itineraries.
- Process expenses in line with company policies.
- Maintain accurate physical and electronic filing systems.
- Support with IT and facilities queries, ad hoc tasks, and general office administration.
- Contribute to wider team activities, including Town Halls, departmental communications, engagement events, stationery management, and post distribution.
Personal Profile
- Previous experience supporting senior leaders (Director, VP, or Executive level) as a Personal Assistant or Executive Assistant.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Highly proficient in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
- Experience using Microsoft Teams, Zoom, and ideally Concur.
- Excellent communication and interpersonal skills with strong attention to detail.
- Able to handle highly confidential information with discretion and professionalism.
- Proactive, adaptable, and confident taking initiative where appropriate.
- Calm under pressure with the ability to reprioritize workloads and respond to changing business needs.
- Reliable, flexible, and collaborative, with a willingness to support colleagues and provide cover across the Executive Administration team when required.
