Personal Secretary to the Associate Director People Services

About the Role

Are you a highly organised, professional, and discreet Personal Assistant looking to support senior leadership within NHS Wales? We’re seeking a proactive individual to join our People Services team.

In this pivotal role, you’ll provide comprehensive, confidential support to the Associate Director for People Services. You’ll:

  • Manage a busy diary
  • Coordinate meetings and committees
  • Prepare reports and briefings
  • Act as a key point of contact for colleagues across the Health Board and wider partners

You’ll thrive in a fast-paced environment, juggling competing priorities while maintaining accuracy and attention to detail. Strong communication skills, excellent IT abilities, and experience in minute-taking and administrative coordination are essential.


Key Duties and Responsibilities

  • Provide effective, efficient, accurate, prompt, and comprehensive administrative and secretarial support to the Associate Director for People Services.
  • Ensure high-quality secretarial support while maintaining effective communication between internal and external colleagues.
  • Activate changes to service as directed by the Associate Director of People Services.
  • Maintain strict confidentiality and discretion at all times.

Person Specification

Essential Qualifications and Skills

  • NVQ in Office Management or equivalent administrative/organisational experience.
  • Advanced proficiency in word processing and spreadsheet packages.
  • Maths/English GCSE or equivalent.

Desirable Qualifications

  • Evidence of CPD (Continuous Professional Development) or personal development.
  • NVQ Level 2.

Essential Experience

  • Experience at a high level in providing comprehensive administrative/PA services.
  • Experience in setting up and using filing/IT systems.
  • Accurate minute and note-taking, including action follow-ups.
  • Familiarity with office procedures and deadlines.

Desirable Experience

  • Experience within the NHS (hospital environment).
  • Experience in a busy office environment.
