Job Overview
Are you a highly organised, professional, and discreet Personal Assistant looking to support senior leadership within NHS Wales? We’re seeking a proactive individual to join our People Services team.
In this pivotal role, you’ll provide comprehensive, confidential support to the Associate Director for People Services. Your responsibilities will include:
- Managing a busy diary, coordinating meetings and committees
- Preparing reports and briefings
- Acting as a key point of contact for colleagues across the Health Board and wider partners
- Thriving in a fast-paced environment, juggling competing priorities while maintaining accuracy and attention to detail
Strong communication skills, excellent IT abilities, and experience in minute-taking and administrative coordination are essential.
This is a rewarding opportunity to play a central role in supporting workforce priorities and contributing to the effective delivery of People Services across the organisation.
The ability to speak Welsh is desirable for this post; Welsh-speaking and English-speaking applicants are equally welcome to apply.

Main Duties & Responsibilities
To provide:
- Effective, efficient, accurate, and prompt administrative and secretarial support to the Associate Director for People Services
- High-quality secretarial support, ensuring effective communication between internal and external colleagues
- The ability to react to and implement changes to service as directed by the Associate Director of People Services
- Strict confidentiality and discretion in all tasks

Person Specification
Qualifications & Knowledge
Essential Criteria:
- NVQ in Office Management (or equivalent admin/organisational experience)
- Advanced proficiency in word processing and spreadsheet packages
- GCSE passes in Maths and English (or equivalent qualifications)
Desirable Criteria:
- Evidence of CPD (Continuing Professional Development) or personal development
- NVQ Level 2 in a relevant field
Experience
Essential Criteria:
- High-level experience in providing a comprehensive admin/PA service
- Expertise in setting up and using filing/IT systems
- Accurate minute note-taking—including action follow-ups
- Familiarity with office procedures and deadlines
Desirable Criteria:
- NHS experience (hospital environment)
- Experience in busy office settings
